TITLE: Administrative Assistant to Family & Community Services

QUALIFICATIONS:
  • High School Diploma, GED, or equivalent (Associate’s degree preferred)
  • Proficient in computer keyboarding (minimum 60 w.p.m. preferred)
  • Demonstrated experience in office procedures and clerical functions
  • Strong interpersonal and phone communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Ability to manage sensitive and confidential information, including student records
  • Organized and detail-oriented, with the ability to manage multiple tasks and priorities
  • Familiarity with school systems, student services, or family engagement (preferred)
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable

REPORTS TO: Director of School Improvement and Family Services

JOB GOAL: To provide comprehensive clerical and administrative support to the Office of School Improvement and Family Services and the greater community to ensure effective and efficient communications to the school community and operations across attendance, residency, homeless and foster care services, and family engagement initiatives.

PERFORMANCE RESPONSIBILITIES:
  • Serve as the receptionist to Central Office, greeting all guests, sorting and delivering mail, providing administrative support, and assisting with the day-to-day activities of the office.
  • Provide direct administrative support for family services including managing the Director’s calendar, scheduling meetings, and handling internal and external communications
  • Assist with preparing correspondence, reports, and family service communications
  • Track and maintain records related to residency affidavits, attendance interventions, and family support services
  • Support the coordination and documentation of homeless and foster care student services in compliance with McKinney-Vento and district guidelines Draft 6.18.2025
  • Maintain organized electronic and paper filing systems for student and service documentation
  • Help plan and coordinate family engagement events, trainings, and meetings (including scheduling, materials preparation, and follow-up)
  • Serve as a point of contact for families and building staff, offering timely communication and referral to appropriate support services
  • Create and manage purchase requisitions and track budget-related expenses for family support initiatives
  • Assist in the collection and submission of data for internal reports and state/federal compliance
  • Work collaboratively with other departments, such as Attendance, Enrollment, and Social
  • Work, to support cross-functional family service efforts
  • Proofread and revise documents for accuracy and clarity
  • Maintain logs and assignments of relevant access tools (e.g., Prox Cards, outreach forms, supply requests)
  • Perform other duties as assigned
ADDITIONAL WORKING CONDITIONS:
  • Occasional evening or weekend work for family events or outreach efforts
  • Must demonstrate cultural sensitivity and maintain confidentiality when working with vulnerable populations
  • Ability to lift boxes of materials and assist in light event setup/cleanup
  • May require travel between district buildings for support or coordination

TERMS OF EMPLOYMENT: Salary and work year as established by the Board and terms of the negotiated contract

EVALUATION: Performance will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Professional Personnel and provisions of the collective bargaining agreement
