JOB SUMMARY We are looking for a skilled Office Coordinator to undertake a variety of day-to-day office and clerical tasks in our West Los Angeles Office. You will be an integral part of ensuring that office operations run smoothly and successfully support various business and legal activities, including serving as a front facing point of contact for current and potential clients, vendors, opposing counsel and others who contact our office. This role will support our attorneys and staff in a professional, confidential and efficient manner. An excellent office coordinator is, above all, an organized, responsible and competent professional with phenomenal communication skills. You will be comfortable dealing with clients and able to carry out administrative duties with accuracy and speed. You will collaborate daily with the Office Coordinators in all three firm locations (CA, NY, MN) to ensure seamless client experiences and continuity in office operations nationwide. ***This position is full-time in office, 8:30 AM - 5:30 PM PST DUTIES/RESPONSIBILITIES Administrative Support Provide daily support to attorneys and staff, including filing, photocopying, scanning, document preparation, and drafting/proofreading routine correspondence. Client & Witness Communication Communicate with witnesses and survivors of sexual abuse with professionalism and compassion, maintaining confidentiality and discretion. Front Desk & Call Management Answer, screen, and direct calls using a multi-line phone system; welcome and assist visitors with courtesy and professionalism. Mail & Records Management Receive, sort, and distribute incoming mail; process outgoing mail. Enter and update client information in case management systems accurately. Confidentiality & Compliance Handle sensitive and confidential information in alignment with firm policies and procedures. Meeting, Travel & Event Coordination Coordinate office events, meetings, group meals, and travel arrangements for attorneys and clients. Vendor & Facilities Coordination Serve as liaison with vendors, coordinating office visits and managing ongoing business and office service needs. Office Maintenance & Supplies Maintain a clean, organized, and welcoming environment in common areas such as the lobby and kitchen. Track inventory and manage ordering and restocking of office and kitchen supplies. Office Operations & Problem Solving Troubleshoot and resolve general office logistics and operational issues efficiently and proactively. Firm Culture & Team Support Contribute to a positive workplace culture through professionalism, collaboration, and relationship-building. Provide support for case and office needs as assigned. REQUIRED SKILLS/ABILITIES Proficient with Microsoft Office Suite or related software (including Microsoft Word, Excel, Adobe Acrobat and Adobe Sign) Advanced communication skills and the ability to demonstrate empathy and compassion to clients Advanced attention to detail Strong written and verbal communication skills Advanced organizational and time management skills Self-starter with the ability to work independently, effectively multitask, prioritize and remain organized in a fast-paced environment Comfortable in a fast-paced work environment Team-oriented and ability to easily build relationships with a positive mindset Discretion and sound judgment when handling confidential matters and/or in communication with clients Ability to manage logistics and coordinate events with minimal support EDUCATION AND EXPERIENCE 5+ years of administrative, secretarial or similar office coordinator experience, preferably in a legal, professional services, or client centered environment Trauma-informed communication training preferred, willingness to undergo training required Proficient in English High School diploma or equivalent required BENEFITS OVERVIEW Health Coverage: Medical, dental, and vision insurance.
