Corporate Receptionist Summary: This position will play a vital role in ensuring the smooth operation of the office by managing front desk responsibilities, communication channels, administrative tasks, and security protocols. This position serves as a key point of contact for visitors, employees, and vendors, and supports various departments with clerical and logistical needs. Responsibilities Include: Visitor Reception: Greet and assist visitors, vendors, and employees from other locations. Manage door access, sign-in procedures, and badge distribution. Notify appropriate personnel of visitor arrivals. Communication Management: Manage incoming calls and emails, including the guard shack line. Respond to inquiries or forward them as appropriate. Mail & Package Handling: Retrieve, sort, and distribute incoming mail and packages. Coordinate outgoing mail and inter-office deliveries. Office Supplies & Inventory: Order office supplies and coffee in coordination with designated staff. Badge Creation & Access Support: Create and manage employee, intern, and contractor badges and provide support for badge-related issues. Maintain visitor logs and ensure all safety protocols are communicated to new employees. Meeting Support & Catering Coordination: Support the ordering and coordination of lunches for meetings as needed and directed. Meeting Room Management: Serve as the primary contact for booking and managing meeting room availability. General Administrative Support: Data entry, making copies and other clerical duties. Provide back-up for Executive Assistants as needed. Completes Other duties as assigned Qualifications: The following are required for the role HS diploma or equivalent (GED) 2+ years of experience in a receptionist, front desk, or administrative support role Willingness to work in an onsite role five days a week Strong customer focus orientation and teamwork Experience with the Microsoft Suite (Office, Teams, PowerPoint etc.) Provide a professional and welcoming presence. Dependable with strong attendance and punctuality Strong organizational skills with the ability to prioritize and delegate tasks. Excellent verbal and written communication skills Demonstrated discretion and confidentiality The following are preferred for this position: Associate's degree in business, Communications, or related field Self-directed learner open to feedback and committed to continuous growth.
