PacTec, Inc., is seeking a full-time Receptionist for our Clinton, LA production facility.

The Receptionist plays a vital role in creating a positive and efficient work environment by providing essential support services and representing the organization to visitors and callers. The Receptionist is expected to monitor incoming calls at the Administrative Office Monday through Friday from 8:00 AM until 5:00 PM. The position provides general office support with a variety of clerical activities, including the responsibility of answering and directing incoming calls, greeting visitors, and mail distribution. In addition, the receptionist must also be alert and watchful of all visitors who enter the building to be the first one to alert appropriate staff if there is an issue of concern.

Core Duties:

  • Greeting and Welcoming: Providing a positive first impression by greeting visitors, offering assistance, and directing them to the appropriate individuals or locations.
  • Answering Phones: Managing incoming calls, routing them to the correct personnel, and taking messages when necessary.
  • Managing correspondence: Handling incoming and outgoing mail, faxes, and other forms of communication including but not limited to emailing W-9s and other correspondence to customers.
  • Scheduling Appointments: Booking meetings, appointments, and other engagements for employees.
  • Maintaining Office Supplies: Monitoring inventory and ordering supplies as needed.
  • Administrative Support: Assisting with various administrative tasks, such as data entry, filing, record keeping, scanning, postage machine, and copier reading.
  • Maintaining Reception Area: Keeping the reception area, conference room, and kitchen clean, organized, and presentable.

Strong verbal and written communication skills are crucial for interacting with visitors, answering phones, and handling correspondence.

The ability to manage multiple tasks, prioritize effectively, and maintain a well-organized workspace is essential.

Customer Service Skills:

Providing excellent customer service by being friendly, helpful, and responsive to visitors needs.

Computer Skills:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.

Problem-Solving Skills:

The ability to address and resolve issues efficiently.

Multitasking:

Handling multiple tasks simultaneously while maintaining accuracy and attention to detail.

Additional Responsibilities:

  • Coordinating with other departments: Collaborating with maintenance, IT, and other departments to ensure smooth office operations.
  • Handling confidential information: Maintaining the confidentiality of sensitive information.
  • Adapting to new technologies: Learning and adapting to new office technologies and software.
Requirements

This position requires knowledge, skills, and abilities equivalent to:

  • High school diploma or GED.
  • Knowledge of administrative and clerical procedures, and software applications
  • A level of computer proficiency in the utilization of Microsoft Office: Word, Excel, Outlook is preferred.
  • Superb phone etiquette. Excellent verbal communication skills, including use of professional grammar.
  • The ability to organize, manage, and execute multiple priorities.
  • Excellent customer service skills.
  • Ability to work independently on assigned tasks as well as to accept directions on given assignments.
  • You must have transportation to be able to collect mail from the post office daily and to run other errands as needed.

Work is primarily performed in a normal office environment generally while sitting at a desk. Dexterity is required to performing work with personal computer keyboard, calculator, and other office equipment. Lifting up to 40 lbs. may be required. Shift is M-F 8AM to 5PM Attendance is KEY!

Salary is $15-$18 hourly, depending on experience, to be determined by the candidates skills, qualifications, and years of experience relevant to the role.
