The DNR is seeking to hire one (1) Regional Receptionist in Grand Rapids MN.
This position exists to provide security, service, information and direction to the general public and employees of the Department of Natural Resources. The position also provides administrative services to the various divisions at Northeast Regional Headquarters.
Responsibilities include but are not limited to:
Control access to the Northeast Regional Headquarters building and greet employees and visitors so that security is maintained, and visitors are provided needed services.
Act as a DNR Information Center consultant so that information and direction is provided to walk-in visitors, email inquiries and telephone customers.
Under the direction of the Regional Director, assist divisions with miscellaneous job assignments for the efficient operation of the department. Items could include data entry, word processing, copying, prepare mailings, reviewing and sorting incoming mail, post outgoing mail, and writing burning permits.
Complete other duties as assigned to ensure effective regional headquarter operations.
Minimum Qualifications
Knowledge of customer service practices and principles sufficient to represent the department in a courteous, friendly, helpful, and professional manner in person and over the phone.
Knowledge of accounting functions to maintain budgets, pay invoices and track expenses.
Knowledge of Word processing, typing or keyboarding skills sufficient to type narrative and numerical documents efficiently with proper grammar and spelling.
Math skills sufficient to maintain inventory and provide accurate records.
Customer service and communication skills sufficient to provide information to the public and other employees effectively and courteously through phone calls, emails, and in-person.
Spreadsheet and database skills sufficient to accurately enter data, retrieve information, manage data, and generate reports.
Skill in using Microsoft Office or similar software products sufficient to create and edit documents, compile, manipulate, store, and retrieve all types of data. Knowledge of general office equipment including copiers, phone system, personal computer, printers, postage machine, etc. sufficient to maintain and use and provide direction.
Ability to use customer service and interpersonal skills on the phone, in-person, and online sufficient to provide effective, general, and specialized office support requiring common courtesy, tact, interest in positive problem solving, empathy, and the ability to organize ideas logically.
Ability to review, edit, and proofread materials to ensure accuracy and completeness and to respond to customer requests.
Preferred Qualifications
One (1) year general office experience performing mail merging, database management, project management, administrator for online database; creating, issuing, and processing permits; creating purchase orders, processing paperwork for items such as fleet, purchasing cards, expense reports; creating and editing reports that included graphs and tables, etc.
Knowledge and familiarity of office equipment and the ability to troubleshoot malfunctions and provide general maintenance and upkeep.
Skill in using multi-line phone systems.
Human relations skills sufficient to interact with supervisors and technical staff to understand work assignments, raise questions, and obtain necessary information to complete tasks.
Organizational skills to prioritize and balance workload to best meet the agency's needs.
Ability to analyze problems of various types, evaluate methods of resolution, and develop systematic and timely plans for resolution.
Ability to work independently on projects and actively participate as a team member.
