El Dorado Company is seeking a dedicated and professional individual to join our team. The successful candidate will play a pivotal role in managing our front desk operations and ensuring a welcoming and efficient environment for clients, visitors, and colleagues.
**Key Responsibilities:**
1. **Front Desk Management:**
- Greet and welcome visitors as they arrive at the office.
- Direct visitors to the appropriate person or department.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, brochures).
2. **Information Dissemination:**
- Provide basic and accurate information in-person and via phone/email.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Respond to inquiries from clients, customers, and the general public.
3. **Administrative Support:**
- Sort and distribute mail, packages, and other correspondence.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Perform clerical duties such as filing, photocopying, and faxing.
4. **Calendar and Meeting Coordination:**
- Schedule and coordinate meetings, appointments, and conference calls.
- Assist in the preparation of meeting areas, setting up necessary equipment and materials.
5. **Customer Service:**
- Provide exceptional customer service and handle complaints or escalate issues appropriately.
- Assist with customer queries and issues, ensuring resolution in a timely manner.
- Maintain a professional demeanor at all times, serving as a positive ambassador for the company.
6. **Technology and Systems Use:**
- Utilize office equipment like copiers, printers, and phone systems efficiently.
- Maintain and update contact lists and databases.
7. **Team Collaboration:**
- Work collaboratively with team members across various departments.
- Provide backup support as needed to other administrative staff.
- Participate actively in team meetings and contribute to a positive work environment.
**Qualifications:**
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment (e.g., fax machines and printers).
- Professional attitude and appearance.
- Strong written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills, with an ability to prioritize tasks and multi-task.
