The Front Desk Reception and Office Assistant serves as the first point of contact for visitors and incoming callers while providing critical administrative and customer service support to ensure efficient day-to-day operations. This role is responsible for managing incoming orders and customer documents, coordinating internal communications, and maintaining organized office systems. Responsibilities Serve as front-line customer service representative, managing incoming calls and directing inquiries appropriately. Process daily orders and shipping documentation, ensuring timely distribution of paperwork to customers. Manage digital records including scanning, uploading, and organizing paperwork. Support internal departments with mail distribution, document handling, and administrative tasks. Coordinate office and shop supply orders, scrap pickups, and basic facility maintenance. File and follow up on shipping claims and maintain accurate claim records. Perform general office duties including scheduling, data entry, and supporting internal process improvement. Essential Skills 3-6 months customer service experience in retail, restaurant, or hotel settings. Experience with handling phones. Proficiency in Microsoft Office (Outlook, Excel, Word). Experience in scanning and filing, particularly with PDF files. Additional Skills & Qualifications Experience with ERP systems, especially those that are Excel-based. Receptionist or Front Desk experience. Experience in the manufacturing industry. Strong organizational skills, ability to multitask, and a friendly demeanor. Ability to prioritize tasks and handle interruptions without becoming overwhelmed. Work Environment The position is 100% onsite with set shift hours. The work environment is described as positive, though it can be a bit stressful due to being short-handed. There is a potential for this temporary position to become permanent.
