Qualifications :
- High school diploma or equivalent
- Valid drivers license and reliable transportation
- Previous successful experience working with students

Reports To : Building Principal

Objective : To ensure the smooth operation of main office systems in the district.
Performance Responsibilities :
- Greets and directs authorized visitors to appropriate areas.
- Responsible for visitor management. Check visitors in using the RAPTOR system to issue visitor badges. Notify other offices and departments when visitors are checked in.
- Work in conjunction with security personnel to ensure visitors have been properly screened.
- Assist in checking in students who are tardy by using the tardy kiosk.
- Responsible for telecommunications which includes answering the main office telephones, and directing calls to the appropriate party, as well as making calls to relay school information to stakeholders.
- Maintains open communication with administration, students, teachers, and other support services personnel.
- Responsible for the processes and paperwork related to the school lunch program. To include submitting reports to the state as well as daily tasks such as receiving and recording lunch money from students and staff. Works directly with the food service director for state reporting purposes.
- Keeps track of the direct certification process to identify students who are automatically eligible for free and reduced lunch service as well as fee waivers. Process fee waivers for students who qualify under federal income guidelines. Ensure proper data entry in Skyward for direct certification and fee waivers. These duties include monthly and annual tasks.
- Collect and record payments from students and employees for food service. Notify students, families and employees of negative lunch balances.
- Collect, record, and monitor school fees during registration and throughout the year. This includes notifying and collecting fees from seniors during graduation season.
- Manage the issuing of lockers through Skyward. Coordinate with maintenance for repair of lockers. Issue student combinations.
- Preparing, receiving, and distributing mail utilizing various carriers (USPS, UPS, FedEx, Amazon, etc). Duties also include assisting with multiple types of mailings to include but not limited to report cards/progress reports, mass mailings, and daily mailings.
- Scheduling, preparing and maintaining the main office conference room as well as maintaining a school wide Google Calendar for meetings.
- Complete purchase orders for the main office to order supplies and other items as needed for administrators and secretarial staff.
- Keeps a cache of office and classroom supplies available in the office for distribution, and keeps the teacher lounge stocked with classroom supplies as well as items such as disposable silverware, plates, cups etc.
- Work with others in the main office and counseling center to prepare for Academic Awards and Graduation. Tasks include preparing programs, receiving and organizing a list of award recipients to ensure accuracy and ordering and completing certificates.
- Assists with the collection of money for deposits from coaches, and club sponsors by ensuring they fill out the proper paperwork.
- Have a working knowledge of other main office secretaries responsibilities to be able to assist in their absence.
- Work with others in the office to maintain a general cleanliness and professional setting.
- Serve as the liaison for district copy machines by ensuring machines are properly stocked with supplies as well as calling in service orders as needed.
- Serve as the primary secretary for the athletic director. Duties include but are not limited to:
- Making purchases for the athletic department
- Assisting in confirming schedules with opponents as needed.
- Updating related correspondence such as contracts.
- Assisting in confirming game officials
- Assisting with the maintenance and tracking of spreadsheets related to athletics
- Assist main office administrators as necessary.
Terms of Employment : The work year for this position will be a 10 month term. Starting salary will be $15.63/hour (FY26). Additional compensation based on experience.
