Receptionist/Administrative Assistant
As the Receptionist/Administrative Assistant, the primary responsibilities include greeting and directing visitors, answering and routing phone calls, managing mail and deliveries, maintaining the reception area, and providing administrative support. You are the first point of contact for our business, creating a positive first impression while managing the flow of communication and information within the organization.
We are looking for someone who has a very professional and friendly demeanor, encourages teamwork, has energy and enthusiasm to continually improve processes within our company and other administrative staff to meet or exceed our objectives.
Responsibilities:
Answer phones/door in a prompt courteous manner, forward as needed to appropriate personnel.
Open and stamp all incoming mail.
Handle outgoing mail and packages: Includes postage machine (ink & funds), etc.
Maintain office supplies for Accounting - ordering and inventory
Copying and/or scanning projects as needed by project manager or other personnel.
Work closely with other administrative personnel to provide adequate coverage for vacation, sick days and other absences.
Prequalification Responsibilies:
Monitor prequalification emails throughout each day and assist as needed. Completion of prequalification questionnaires/forms using information saved on our network drive.
Requirements:
This position requires an individual who enjoys problem solving with great customer service skills. Must have a desire to work in a team-based environment and contribute immediately.
2-4 years prior experience in reception/administrative support role required
High School diploma required
Customer service oriented
Intense attention to detail with accuracy and consistency
Positive safety attitude and personal integrity - both are non-negotiable
Excellent Communicator, both verbal and written
Computer/technical skills including experience with Microsoft Office programs (Word, Excel, PPT, TEAMS, One Drive).
Moderate computer and software skills for basic data entry
Ability to reason and think logically in problem solving.
Ability to multi-task and prioritize various daily responsibilities to meet deadlines.
Competence to keep personnel information strictly confidential
Strong interpersonal skills; ability to interact and with all levels of the company at field sites and offices, and effectively deal with vendors, customers and regulatory agencies
Ability to see details and recognize errors, working within precise standards of accuracy.
Ability to update job knowledge by participating in educational opportunities
