    CVA K-8 Front Desk Receptionist Job Duties
    Summary:
    The Front Desk Receptionist serves as the gatekeeper of CVA K-8, ensuring the safety of staff and students by maintaining a secure entry at all times. This position provides comprehensive secretarial and administrative support to the school office, ensuring efficient daily operations and excellent service to students, staff, parents, and visitors.

    Essential Duties and Responsibilities:
    Secure Entry and Visitor Management
    Ensure the front door is monitored and secured at all times.
    Greet and check in all visitors and volunteers following sign-in procedures, including scanning IDs.
    Direct visitors to appropriate staff, call students to the office as needed, and maintain a safe, welcoming environment.

    Attendance Management
    Monitor attendance voicemail, contact parents to verify absences/tardies, and perform data entry in the student information system (Infinite Campus).
    Record daily staff attendance as assigned.

    Phone and Communication
    Answer, screen, and route incoming calls; provide information to callers.
    Take messages for staff and students.
    Retrieve and respond to voicemail.
    Make outgoing calls for administrators and authorized staff.
    Communicate with parents via Infinite Campus Messenger, district phone, text, and email systems.

    Administrative Support
    Enter and retrieve data in Infinite Campus (attendance, fees, fines, etc.).
    Perform daily office tasks, including announcements, answering classroom calls, supervising students in the office for disciplinary reasons, and acting as liaison for volunteers.
    Accept, sign for, and distribute deliveries; handle returns if necessary.
    Send, receive, and distribute mail, faxes, and emails.
    File important documents and maintain organized records.
    Prepare reports, correspondence, memoranda, and special project materials for the Principal.

    Substitute Coordination
    Monitor the absence management system for daily absences.
    Coordinate substitute coverage, maintain and distribute substitute folders, track attendance, and ensure substitutes are prepared.
    Maintain substitute time reports and class coverage forms.

    Newsletter and Bulletin Board
    Compile and distribute the weekly newsletter through Infinite Campus each Thursday.
    Maintain the schools COMMUNITY bulletin board to ensure only current, relevant information is displayed.

    Financial and Program Support
    Manage cash collection and receive payments (credit card, cash, checks).
    Record Infinite Campus fees.
    Maintain spreadsheets for Homework Club payments, attendance, and contacts.
    Support school lunch program records (including Free & Reduced status), menus, and sign-ups.
    Track and order office supplies as needed.
    Assist with preparing related correspondence and reports.

    Student Support and Supervision
    Assist with student supervision in the front office.
    Take and distribute homework and vacation requests.
    Cover the health clinic or lunch duty as needed.

    Other Duties
    Perform photocopying, printing, and data entry as needed.
    Provide backup to the health clinic and other office functions as assigned.
    Perform other job-related duties to ensure the office runs smoothly and safely.
    Required Skills and Qualifications:
    Excellent in-person, phone, and written communication skills.
    Strong customer service principles and awareness.
    Excellent organizational skills with the ability to prioritize tasks.
    Ability to work independently and collaboratively as part of a team.
    Ability to multitask in a dynamic environment.
    Experience with cash handling and payment processing.
    Basic computer skills and willingness to learn new systems and programs.
    Background check and fingerprinting required.
    Bilingual (Spanish) preferred.

    Work Hours:
    School Year: 7:30 am 4:00 pm (MondayFriday)
    Summer: 9:00 am 3:00 pm (MondayThursday)
