Reporting to the Assistant Director, WIOA Title I-B, the Receptionist will provide friendly front-desk support for Workforce Innovation and Opportunity Act (WIOA) Title I-B programs (Adult, Dislocated Worker, Youth) at the One-Stop Center in Prescott, AZ, with rare travel to Prescott Valley if needed for coverage. The role involves greeting clients, managing appointments for Career Navigators across Prescott, Prescott Valley, and Verde Valley, supporting TABE testing, and maintaining a professional reception area. Strong interpersonal skills and a willingness to learn WIOA processes are essential, with training provided. This role contributes to a model One-Stop transforming lives for Youth (in or out of school), Adults, and Dislocated Workers.
Responsibilities
Client Interaction and Scheduling (50%)
- Greet clients and walk-ins warmly, verify appointments, direct them to Career Navigators, and respond to basic inquiries.
- Manage phone calls, schedule appointments for Career Navigators across Prescott, Prescott Valley, and Verde Valley, and maintain visitor/call logs.
Testing Support (25%)
- Schedule TABE (Test of Adult Basic Education) testing sessions for clients, coordinating with Career Navigators.
- Proctor TABE tests if feasible, following Career Navigator guidelines, ensuring fair administration.
Reception and Office Support (25%)
- Maintain a clean, organized, and accessible reception area, restocking supplies, and ensuring client comfort.
- Operate office equipment (e.g., fax, copy machine), sort mail, and assist the Director and Assistant Director with basic administrative tasks (e.g., distributing materials), escalating complex issues to the Assistant Director, with rare travel to Prescott Valley or Verde Valley if needed
- High school diploma or equivalent with 2 years of receptionist experience in a professional setting.
- Strong interpersonal, organizational, and communication skills, with a friendly demeanor for client interactions.
- Demonstrated ability to manage scheduling and client-facing tasks, with a commitment to learning WIOA-specific processes (e.g., TABE testing).
- Basic proficiency in Microsoft Office (Outlook, Word) for scheduling and forms.
- Ability to learn WIOA program basics, including TABE testing and One-Stop workflows, with training provided.
- Regular in-person attendance at the Prescott Campus, with rare travel to Prescott Valley or Verde Valley if needed for coverage.
- A valid Level I Fingerprint Clearance Card is required to be considered for hire.

- Experience in receptionist or customer service roles in workforce development or client-focused settings, with client interaction or scheduling skills, or a strong willingness to learn WIOA standards.
- Familiarity with workforce services, TABE testing processes, or commitment to developing these competencies through training.
- Proven ability to maintain a professional reception area in client-focused environments.
