You will be the first friendly face our guests seegreeting visitors warmly, ensuring proper sign-in, and guiding them to the right person or department. You will engage in meaningful conversations, both general and organization-specific, while also playing a vital behind-the-scenes role. From clerical and administrative support to data entry, lunch coordination, and Board meeting preparation, your contributions will help keep our operations running smoothly. This position is ideal for someone who thrives working independently for extended periods, remains attentive and professional throughout the day, and takes pride in being reliable and responsive for both guests and team members. This on-site position will report to our Member and Provider Services Supervisor and is located in Johnston, Iowa.

Essential Functions and Principal Accountabilities:

  • Greet and assist all guests in a professional and friendly manner and follow protocols to direct guests to the appropriate person or department.
  • Ensure adherence to all security procedures and HIPAA guidelines.
  • Perform general administrative and clerical support to assist various departments throughout the organization.
  • Maintain a professional appearance, including adherence to specific dress code requirements.
  • Manage company lunch meetings by coordinating with meeting owners, ordering & delivering lunches, and reviewing and reconciling monthly credit card statements.
  • Assist with Board meeting set up and kitchen upkeep.
  • Perform tasks for Operations including return mail processing and other data entry tasks. Attend huddles and other appropriate company meetings and functions.
  • Perform general administrative, clerical and data entry tasks in support of various departments throughout the company.
  • Maintain a courteous and professional demeanor when interacting with internal stakeholders, including colleagues, managers, and other departments. Ensure all communications are respectful, supportive, and collaborative, contributing to a positive and productive work environment.
  • Exhibit a high level of dependability in all aspects of the role.
  • Perform other duties as assigned.
Requirements
  1. High school diploma required.
  2. Three or more years of experience serving as a receptionist or customer service in a professional office environment required.
  3. Ability to effectively communicate and interact with all levels of employees and the public through excellent verbal communication skills.
  4. Basic math and data entry skills.
  5. Ability to maintain confidentiality.
  6. Experience using Microsoft Word & Excel.
  7. Knowledge of administrative and clerical procedures with strong organizational and planning skills.
  8. Strong attention to detail and the ability to follow procedures.
  9. Ability to work independently on assigned tasks.
  10. Ability to multi-task, prioritize effectively and remain flexible.
  11. Dependability in attendance and punctuality required.
  12. Excellent interpersonal skills.
  13. Ability to meet with visitors and respond to their questions and concerns in a professional manner.
  14. Ability to sit for long periods of time.
