Contractor Administrator is responsible for managing the Contract Repository for the organization. This includes supporting business lines by providing stellar customer service. This includes coordinating contract signatures, uploads in the system, renewal reporting and escalation and customer service. This position will also work with CPO, Legal, TPRM, Technology business owners and various stakeholders on new contract and renewals.
**MAJOR RESPONSIBILITIES** **:**
**Contract Execution Facilitation**
This position will be responsible for the coordination of signatures once stakeholders have provided approval on agreements. This may be through a variety of electronic signature systems. Once executed the Contract Executor will be responsible for loading the agreement into the banks contract repository capturing key information such as contract term, renewal notice requirements and the type of agreement.
**Contract Repository Management**
The Contract Administrator will manage the contract repository by monitoring expiration dates, upcoming contract renewals by vendor and business line, input of renewals and capturing notice of contract terminations.
**Reporting**
The Contract Administrator will need to develop, schedule, and perform ongoing reports for the business and management detailing active, expired, and terminated agreements for the organization. Reporting will be required by cost, division, and business line. This role will be responsible for working with the business to ensure the system details are correct.
**Contract Database**
The Contract Administrator will work with various stakeholders to help build out the new contract repository in Archer. This will include the gathering of business and contract field requirements. Testing as needed including the development of test case scenario scrips This individual will help to manage the migration of contracts from the existing repository to Archer validating that contracts are loaded accurately. Once built, this position will manage user access in the system.
**Customer Service**
The Contract Administrator will be required to work with all business lines and levels within the organization. This position will also require interaction with vendors as it relates to contract execution.
**PROBLEM SOLVING & DECISION MAKING** **:** The Contract Administration works at the direction of the CPO. Daily tasks and regular projects are performed with little guidance. The Contract Administrator is tasked with managing many projects with little guidance. The Contract Administrator is required to interpret and resolve issues using their best judgment on a daily basis with little guidance and direction.
**REQUIREMENTS** **:**
**Education and Experience** :
+ 3+years Contract experience.
+ Bachelors degree preferred, High School education combined with certifications from CTPRP and/or related work experience is acceptable.
**Skills/Knowledge** :
+ Knowledge of contract terms and conditions.
+ Knowledge of the principles of Contract Management
+ Skill in using personal computer, data management, spreadsheets, and word processing software in performing duties.
+ Ability to organize multiple priorities; Ability to communicate and work effectively with customers, contractors, co-workers, and vendors.
+ Effective facilitation and personal interaction skills appropriate to achieving objectives.
+ Ability to assemble, organize and present statistical, financial, or factual information derived from a variety of sources.
+ Ability to multi-task
**Working Conditions** :
+ M-F 8:30am to 5pm. Hours as needed for business requirements.
