Position Summary: This role provides critical support to the Senior leadership of SCI program and undertakes administrative functions to ensure efficient and effective operations of SCI Programs. This role will provide clerical, administrative support including, but not limited to, compiling, tracking and reporting various datapoints, managing schedules and reserving meeting space, taking and distributing meeting minutes and assistance with ongoing and special projects through remote support. This dynamic position requires the ability to anticipate needs, think critically, work independently with little supervision and offer solutions to problems with a high level of professionalism and confidentiality. Essential Duties:

  • Administrative support for the Programs Director to include schedule management, meeting and presentation preparation, prepare and/or edit written communications, and identifying areas for improved efficiencies.
  • Administrative support for Program Senior Leadership meetings including scheduling, creation of agendas, compiling supporting documents, meeting logistics, meeting minutes, and ensuring action items are clearly communicated and scheduled for completion.
  • Support and document management for SCI Standing Committee.
  • Support and management of all programmatic records including procedures, program calendar and tracking of various datapoints for people accessing services.
  • Assist with data management and reporting of program key performance indicators.
  • Compile and submit information for Incentive and Bonus Programs.
  • Maintain a current inventory and backlog of all program initiatives.
  • Assist Program Senior Leadership with special projects as needed, maintain necessary project records, and create project archives upon completion.
  • Other administrative duties as assigned.

Other Responsibilities:

  • Operate, monitor, and coordinate maintenance of agency equipment as needed.

  • Ensure that assigned organizational project objectives are met.

Supervisory Duties:

  • This position has no supervisory responsibilities.

Education Required:

  • Associate degree in business related field; bachelor's preferred. High school diploma or GED with 7+ years' administrative experience will be considered in lieu of degree.

Experience Required:

  • 2-5 years' administrative experience with bachelor's degree
  • 3-7 years' administrative experience with an associate's degree

Continually operates a computer, keyboard and mouse, and other office productivity machinery, such as a calculator, copy machine, printer, and mobile Smartphone device. Constantly positions self to comfortably maintain computer equipment. May occasionally be required to move about in an office setting or position office equipment weighing between 10-25 pounds. Vision abilities required by this job include close vision. Ability to operate a motor vehicle. The person in this position frequently communicates with other people. Must be able to exchange accurate information in these situations.

IT Roles must be able to position self to maintain computers and equipment, including under desks and in server room(s). Frequently moves equipment weighing up to 50 pounds.
