Will be responsible to Manage telephone/calls, emails, and correspondence. a. Morning/Opening routine - reviews general voicemail box for overnight activity, transcribes messages and distributes them to the appropriate party. pick up and process mail by date stamping and distributing to appropriate party. Screen phone calls before transferring to appropriate party. Manage Front Desk traffic, including: a. Greets visitors. b. Acts as gate keeper for Principal/Owners to keep solicitations to a minimum. c. Maintains front office area neat and clean. d. Sets up conference room for meetings when needed. e. Prepares coffee for breakroom or meetings when needed. f. Provides and accepts employment applications from interested candidates. g. Reviews/Completes screening checklist for each job applicant - forwards to Operations Department for further consideration. h. Distributes employee payroll checks every other Friday. Manages outgoing mail (UPS/FedEx), including the distribution of incoming mail/faxes & packages throughout the office. Maintains current business Licenses/Certificates on front office wall (frames). Will also assist with Purchasing & Inventory, including: a. Maintains inventory of office, kitchen & bathroom supplies. b. Re-orders when appropriate. c. Oversees upkeep of postage machine. d. Coordinates service maintenance for computers, copiers, faxes and water service, including setting up service calls. e. Maintains copier/fax/postage equipment loaded with paper and toner/ink for proper support. f. Manages and coordinates third party vendors including janitorial, coffee/water service, pest control, VoIP vendor, FedEx, etc. Filing support, including: a. Performs pre-sorting of project folder documents, A/P and A/R documents. May include scanning and digital filing of these documents. Makes labels and sets up project folders. . Establishes excellent relationships with internal stake holders as well as visitors. New Hire Orientation, including: a. Conducts new hire orientations with Field employees. b. Sets up employment files adhering to Master Folder format. c. Copies and reproduces the new hire kits (English/Spanish) to be prepared for a ramp up of on boarding appointments. d. Creates ID badges, including taking headshots for newly on boarded employees. Re-issues badges as needed. Other duties or projects may be assigned based on operational needs. Some college education in accounting or related discipline would be highly desirable. Minimum of 2 years of experience in an administrative and accounting capacity. Knowledge for switchboard phone systems such as Nextiva or similar program is ideal. Proficient use of software applications such as MS Outlook, Word, Excel, and SAGE or other accounting platforms. Possesses excellent problem-solving skills & prioritizes Win-Win outcomes. Highly organized with time and tasks to ensure efficiency and accuracy are consistently maintained.
