Job Summary
This individual must be customer-service oriented and hospitality minded to be responsible for serving guests (Hillsdale College guests, staff and students) at the front desk. This individual will work in conjunction with the Dow Center Management Team to provide the highest level of service possible in an efficient, courteous and professional manner. Must be self-motivated and able to work independently.
Essential Job Functions
1. Proficiency in the hotel property management system and sales and catering module to fulfill requirements for:
a. Making hotel reservations
b. Checking guests in and out of the hotel.
c. Posting charges and payments.
d. Auditing process and Business Office reports.
2. Expertise in various secretarial duties including answering the phone, computer word processing, typing, proofreading, preparing forms and filing for the department.
3. Greet, assist and handle routine business matters with both internal and external clients.
4. Oversee online booking accounts and reservations (Expedia / Booking.com).
5. Oversee the waitlist in order to maximize hotel occupancy for each night.
6. Book conference spaces, create event diagrams, and create room blocks for Dow Hotel and Rockwell Lake Lodge as needed.
7. Assist with overseeing requests to the Dow Hotel email inbox.
8. Knowledge of daily set-ups and conference uses to ensure customer satisfaction.
9. Maintain a personable and pleasant attitude. A good first impression is essential.
10. Perform additional duties as assigned by the Dow Center Management Team.
Required Qualifications
Education and Experience
This position requires a high school diploma with advanced education in business school and/or college, along with two to four years of customer service and/or hospitality experience; or a combination of education, training or experience that fulfills the needs of the College.

1. Knowledge of principles and processes for providing excellent customer service.
2. Ability to work under limited supervision requiring only outline suggestions for handling office situations.
3. Must be able to use a computer with software including but not limited to: Microsoft Word, Microsoft Outlook, Microsoft Excel and Hotel Property Management System.
4. Ability to operate department equipment or willingness to learn operation procedures.
5. Possess excellent oral and written communications skills, including strong listening.
6. Ability to keep calm and remain personable under pressure.
7. Ability to work in a fast-paced environment with deadline pressures and manage multiple projects simultaneously.
8. Possess excellent organizational skills.
9. Ability to proofread material.
10. Ability to maintain confidentiality.
11. Ability to work flexible hours and remain accessible to assist with coverage of other shifts, weekends and holidays.
12. Ability to maintain a customer-centric approach with constituents.
13. Knowledge of safety procedures and requirements or willingness to learn procedures.
