Senior Administrative Assistant, Nursing

Under the supervision of the Dean of Nursing provides support to all programs in the School of Nursing. The assistant collects and maintains assessment data and student records, coordinates admission and recruitment activities, and manages student databases, including course schedules, registration and enrollment data. This position also interfaces with offices on campus that provide student support services.

Responsibilities:

  • Assists the Dean of Nursing and faculty in collection and maintenance of assessment data used for program reviews.
  • Manages course schedules and monitors registration for adequate enrollment.
  • Maintains student records in the School of Nursing and advising lists.
  • Establishes and maintains processes for managing clinical practice mandates, includes student notification for compliance issues.
  • Interfaces with the public on behalf of the department by answering phones, answering/referring inquiries, directing visitors.
  • Collaborates with the other department Administrative Assistant to acquire the necessary information from graduating students to plan pinning and hooding ceremonies each semester.
  • Attends and takes minutes for undergraduate and graduate program faculty meetings.
  • Participates as a non-voting member on the Department of Nursing Student Affairs Committee.
  • Prepares, distributes and collates data from program surveys at regular intervals.
  • Assists with the completion of Out-of-State certificates of former students to practice outside of Ohio.
  • Coordinates School of Nursing social media accounts.
  • Submits and maintains records undergraduate graduate student program completion letters to the Ohio Board of Nursing in preparation for the NCLEX examination.

Qualifications:

  • Bachelor's Degree strongly preferred.
  • One to two years related experience or training in an office environment; general administrative experience in higher education or similar field preferred.
  • Excellent facility in using Microsoft Office Word, Excel, and Outlook, prior experience with Microsoft Access and Powerpoint, and the ability to learn Microsoft Publisher and Colleague is required.
  • Experience in managing large amounts of data electronically. Able to query database.
  • Ability to handle sensitive information and maintain high level of confidentiality.
  • Excellent professional verbal and written communication skills.
  • Organization, attention to detail, flexibility, and strong ability to multi-task.
  • Ability to work without supervision and demonstrate considerable initiative.
