Job Description Summary The Front Desk Representative's functions ensure a high level of productivity by assuming responsibility for administrative support within Human Resources. This position is responsible for managing administrative tasks, assisting customers, and supporting the overall operations of the business. Greet, assist, and provide direction and information to callers, clients, visitors, and other department guests. Maintain a positive attitude and be able to provide superior customer service. Perform a variety of clerical and administrative support duties efficiently and accurately while using informed, independent judgment. What you will do
Administrative Duties - 40%
- Manage multiple email inboxes, responding to inquiries as needed. Distribute and ensure that correspondence is routed to the appropriate parties in a timely manner.
- Maintain multiple filing systems, updating and replacing filing systems as needed. Maintain confidential employee records and databases to include scanning, filing, pulling and auditing files. Must maintain strict confidentiality of all department documents, information, and activities.
- Retrieve mail, documents, packages, courier deliveries and distribute accordingly.
- Proofread and type department confidential correspondence while complying with Personal Health and Information (PHI) requirements.
- Assist all HR staff divisions with various administrative and clerical support tasks.
- Operate a variety of office equipment including but not limited to personal computer or laptop, multi-function copier, scanner and camera. Extensive knowledge of computer applications including but not limited to Microsoft Suite.
- Communicate current and anticipated problems to supervisor. Collaborate with peers, coworkers, and professionals to develop solutions to problems. Analyze situations accurately and adopt an effective course of action.
- Submit and monitor Facilities Department work orders for Administration Building.
- Facilitate travel arrangements for HR personnel.
- Monitor the Human Resources calendar to track staff availability, including the director and deputy director, to ensure efficient scheduling and coordination of resources.
- Ability to exercise initiative and appropriate amount of independent judgment and to interpret current policies and procedures.
- Establish and maintain effective working relationships with coworkers, employees, professionals, agencies, and the public.
- Coordinate department activities to support department needs and functions.
- Update Admin Building hallway monitors to reflect events in the Fort Lupton Training Room and Events Room on a weekly basis
- Maintain clean and well organized reception area
- Research, review and process employee personnel file requests.
- Review and sign off on PSLF (loan forgiveness)
- Facilitate bilingual allowance process from beginning to end. Set up test, communicate with employee on signing up for testing, upload completed certificate to workday, apply bilingual allowance and follow through with confirmation to employee.
- Maintain Language testing platform and all communication with the vendor to ensure testing process runs smooth.
- Track expired employment authorization cards and correspond with employees on submitting updated cards.
- Assist with the maintenance of Job Description database as needed.
- Act in the role of Executive Assistant to both CHRO/Director of Administration and the Deputy Director of HR as needed.
- Planning and coordinating all informational meetings/employee appreciation events within the HR department.
Customer Service - 30%
- With a positive welcoming attitude, greet visitors, guests, and employees to the Human Resources Department. Determine the purpose of each persons visit and direct or escort appropriately with knowledge to assist or refer appropriately.
- Answer multiple-line phone system and screen and direct phone calls to appropriate staff. Take messages as appropriate.
- Schedule room reservations for the county.
- Create new employee badges, issue replacement badges, work with department contacts to resolve badge access matters.
- Complete telephonic and written Verifications of Employment (VOE) and route accordingly.
- Check out and keep track of keys.
Compliance Assurance - 30%
- Process I-9s using E-Verify for new employees to ensure compliance.
- Receive substance screen results, ensure delivery to appropriate parties while observing privacy guidelines.
- Receive background packets from applicants, verify completeness, make copies of original documents, route to talent manager.
- Notarize documents (Sheriff's Office background packets, affidavit of legal heir form, etc.).

Required QualificationsRequired Education
- High School Diploma/GED
Experience Qualifications
- 2 years increasingly responsible administrative support position.
Skills and Abilities
- Outstanding customer service skills and positive active engagement with all audiences. Interpersonal skills using tact, patience, and courtesy.
- Thorough knowledge of modern office practices and procedures, including professional telephone etiquette. Excellent organizational skills and attention to detail.
- Knowledge of legal terminology specific to personnel processes.
- Skill in taking notes or recording meetings and hearings and transcribing as required.
- Ability to meet schedules and deadlines. Ability to adapt to fast paced, high volume work environment while remaining calm and professional.
- Follow policies and procedures, the Weld County Code of Conduct and adhere to strict confidentiality guidelines and appropriate release of information outlined in both.
- Intermediate proficiency in the use of the Microsoft Office Suite including but not limited to MS Outlook, MS Excel, and MS Word. Ability to enter data into several different computer programs. Ability to learn and apply new computer skills on a regular basis. Previous experience with HRIS Software beneficial.
- Ability to use common office machines, including multi-function printer.
Licenses and Certifications
- Notary License within 90 Days. Required
- Must pass a background check prior to employment. Required
This position is non-exempt from the minimum wage and overtime requirements of the Fair Labor Standards Act and is therefore eligible for overtime pay.
