Serves as the initial contact for the department greeting visitors, employees, vendors and students while also responding to multiple phone extensions and providing basic secretarial duties in accordance with specific instructions and established work procedures. Works collaboratively with other departments to ensure employee satisfaction through efficient and timely resolutions.

I. Major Responsibilities:

1. Greets and offers assistance to visitors, employees, vendors and students in a friendly, courteous and positive manner.
2. Provides directions, maps, and/or assistance to areas on site. May escort visitors to their destination.
3. Works collaboratively with other departments to ensure employee safety and satisfaction.
4. Distributes mail, faxes and other internal/external communication as needed throughout the day.
5. Directs phone calls or visitors to appropriate persons. Provides basic information as necessary to callers or visitors. Maintains department calendars as necessary.
6. May utilize personal computers or remote data terminals to post, check or obtain basic information.
7. May manage supply orders for the department.
8. Assists with projects and other administrative tasks as needed.

II. Position Qualifications:

License/Certification/Education:

Required:
1. High School graduate or equivalent.

Experience/Skills:

Required:
1. 1-2 years of related office/clerical/administrative support experience.
2. Must have familiarity with office procedures.
3. Strong customer service and communication skills.
4. Basic computer skills.
5. Familiarity with multi-line phone systems.

Preferred:
1. Bilingual English/Spanish.

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
