Job Purpose:

Position Summary
Supports company management by performing a variety of administrative functions. Such as, but not
limited to, operating switchboard and answering incoming calls, giving information to callers, greeting
and directing all visitors, accepting all deliveries, scheduling meeting rooms and appointments,
coordinating daily safety huddle information, prepare expense reports, and working on projects as
directed. Composes emails, memos, transcribes notes and research as needed.

Job Responsibilities:

Additional Responsibilities & Qualifications:

  • Operates/Answers a telephone switchboard to route incoming calls, takes messages and places outgoing calls.
  • Receives visitors and notifies co-workers.
  • Relays messages to co-workers using phone and/or PC.
  • Receives deliveries and notifies co-workers.
  • Schedules and manages calendars for meeting rooms.
  • Coordinates and distributes daily safety huddle information.
  • Assists with processing invoices, receiving approvals and coding for payment.
  • Assists with monthly expense reconciliation and reporting.
  • Composes emails, memorandums and assists with research when needed.
  • Schedules appointments, reads and routes incoming mail and performs other administrative and clerical duties as requested.
  • Assists executives/management, vendors, customers, co-workers and callers with translations.
  • May respond to customer requests.
  • Coordinates and arranges travel as requested.
  • Handles confidential information to company.
  • Keeps office files, documents and workflow organized.
  • Supports Executive Assistant with various duties and projects as requested

Education and Experience:

o High School diploma or general education degree (GED)

o Proficient Math and English skills o Demonstrated competence in secretarial skills (typing, computer, word processor, copier, facsimile machine and general clerical)

o Minimum 1-2 years of related experience Knowledge, Skills & Abilities:

o Strong customer service and telephone communication skills. o Upbeat and friendly personality.

o Ability to write correspondence.

o Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.

o Ability to operate various office machines and computers.

o Bi-lingual preferred, but not required (ability to speak Spanish).

o Proficient in computer applications and software (Outlook, Word, Excel, Power Point).

o This position requires the ability to demonstrate the following competencies:
