UPMC Hillman Cancer Center is currently hiring a full-time Administrative Assistant, Associate to support our radiation oncology office located in Greensburg, PA. This position will work Monday through Friday, 8-hour shifts. No evenings, weekends, or holidays are required!
The Administrative Assistant provides general administrative support to the oncology department. In this role, you will be responsible for making and scheduling patient appointments, assisting patients in person and on the phone to provide information, and communicating with various departments for testing and appointments.
An ideal candidate would have prior work experience in an outpatient medical office with high call volume and experience in chart prep, electronic medical records, and medical terminology.

Responsibilities:
- Provide general administrative support to a department or group of professionals.
- Order office supplies and maintain office equipment.
- Assist in preparing presentations (editing, printing, basic formatting).
- Sort, distribute, prioritize, and compose routine correspondence.
- Perform routine clerical functions (copying, sorting, filing, typing).
- Set up and maintain office files, logs, and records.
- Assist in researching, drafting, and abstracting routine reports.
- Answer, screen, and route incoming calls and messages.
- Greet, screen, and direct visitors to appropriate staff members.
- Check-in and check-out patients using Epic and Aria software.
- Register new patients and update existing patient information.
- Collect copays and provide receipts.
- Assist patients with self-check-in and other services.
- Schedule follow-up appointments and physician-ordered tests.
- Coordinate new referrals and maintain doctors' calendar.
- Ensure timely communication with patients regarding appointments and test schedules.
- Manage and organize patient records and documentation.
- Handle incoming calls and emails, providing information and assistance.
- Prepare and distribute departmental correspondence and reports.
- Maintain office supplies and ensure a professional office environment.
- Efficiently use Epic and Aria for patient management and scheduling.
- Utilize Microsoft Office for creating documents, spreadsheets, and presentations.
- Work closely with medical staff to ensure patient needs are met.
- Participate in departmental meetings and contribute to process improvement initiatives.
- Provide excellent customer service to patients and their families.
- Address patient inquiries and resolve issues promptly and professionally.
