GENERAL STATEMENT OF DUTIES
Provides administrative secretarial support in an NHREC school/center and, or principal, director and/ or other NHREC administrator, and other professional educators as required. The work involves office management responsibilities and performing a variety of administrative support activities. Incumbents apply knowledge of NHREC operations, procedures and judgment, relieving supervisor of routine administrative tasks and ensuring smooth and efficient operation of the supervisor's office. Activities may involve providing purchasing services and processing student attendance reports for multiple campus sites.
ESSENTIAL FUNCTIONS
Reconciles staff leave records.
Maintains the program budget ledger.
Orders supplies and materials.
Submits and receives requisitions.
Manages inventory control.
Provides administrative support to school/center, NHREC unit, ensuring smooth and efficient day-to-day operation of the activities to which assigned.
Assists teachers and other staff in making arrangements for parent conferences, IEP conferences etc.; provides teachers with supplies and forms as requested; maintains lists, such as locker lists,
Maintains student database and enrollment files; maintains attendance records; prepares and mails absence letters; processes attendance records; distributes absentee list; records late arrivals and processes early departure of students; issues student passes; may operate computerized attendance recording and scanning equipment; maintains discipline records and files.
Provides secretarial support for administrators and faculty; delivers messages to teachers or principal; performs full range of administrative support and secretarial tasks as assigned to support school administration, teachers and general school operations; as assigned as per instructions, may dispenses medication to students.
Serves as receptionist, greeting visitors, providing information or directions to appropriate office; operates telephone switchboard answering inquires or forwards calls and takes messages; receives, distributes mail, provides general assistance and back up support to other school secretarial staff.
Maintains control records on incoming correspondence and action documents, and follows up on work in progress to ensure timely response or action.
Formats and types confidential and general correspondence, reports, and statistical data; tabulates and prepares reports of financial and statistical data.
Operates a desk-top computer utilizing a variety of word processing, spread sheets, data bases, graphics and presentation software to prepare correspondence and memorandums, financial and presentation materials; updates, revises, and produces from rough draft reports and correspondence; obtains appropriate signatures on correspondence and forwards to appropriate personnel; enters, edits and updates data files and enrollment records; accesses data files to view information and to print out hard copy reports.
Performs initial “troubleshooting” of computer malfunctioning, resolving minor problems, and referring others to information technology personnel.
Provides technical support required to maintain photocopying equipment.
Performs a variety of office related financial, accounting and budgetary tasks, utilizing a variety of office technology hardware and software.
Compiles data for reports; gathers and interprets information from appropriate source; composes routine correspondence; may prepare information and presentation packets for use by a supervisor or coordinator.
MINIMUM EDUCATION, TRAINING, AND EXPERIENCE REQUIREMENTS
Graduation from high school, including or supplemented by courses in record keeping, bookkeeping, and office practices (two years of college, community college business administration/office management course work preferred)
Considerable responsible office clerical experience, preferably in an education or education related setting at the level of Educational Secretary II; or any equivalent combination of education and experience that would provide the above noted knowledge, skill, and ability.
