The Administrative Assistant reports to the Executive Director of Campaign Strategyand provides administrative support to the Associate Vice President (AVP) ofPrincipal Giving and Campaign Director and the Campaign Strategy team, asneeded, within University Advancement (UA). This role will interact daily withhigh-level external and internal constituents of UA, including members of theBoard of Trustees and Board of Regents, the offices of senior administratorsacross the University, and principal donors, to provide seamless, high-endcustomer service.
Primaryresponsibilities include:
- Developing and employing efficient work procedures to ensure smooth office operation, such as screening of incoming e-mails.
- Assisting with scheduling appointments and meetings and managing the Associate Vice Presidents calendar for effective workflow.
- Preparing and drafting correspondence, briefings, talking points, administrative memoranda, and reports.
- Maintaining an effective electronic and paper filing system and other organizational systems as required.
- Arranging travel for the Associate Vice President, including preparation of detailed itineraries and coordinating with internal colleagues on briefing materials.
- Assisting with entering and maintaining donor and prospect data into development databases and requesting or extracting data reports to address specific business needs.
- Supporting the execution of strategic engagement programs and events to maximize fundraising effectiveness.
Alsoinvolves extensive independent contact with volunteers, donors, Universityofficers, administrators, and trustees, as well as their assistants, to arrangemeetings and solicitation calls on the Associate Vice President's behalf. Performs other related duties as required.
Applicationswill be reviewed on a rolling basis. The salary range for this position is $51,350- $64,200, with the final salary based on various factors, such as thecandidates qualifications, skills, competencies, experience, and internalequity considerations.
Thisposition requires a high school diploma, a bachelors degree preferred, and 3+years of increasingly responsible administrative experience in a professionalsetting. Strong interpersonal and organizational skills with attention todetail and accuracy are required. Excellent oral and written communicationskills, including effective phone communication skills, are also expected. Thecandidate must possess solid knowledge of grammar and punctuation.
Additionally,the candidate should have accurate typing skills; a working knowledge of GoogleSuite and Windows PC, including Microsoft Office; familiarity with CustomerRelationship Management databases and Zoom Workplace; exceptional proofreadingskills; and be adept at handling multiple tasks and meeting deadlines.
Alsorequires good judgment, discretion in handling confidential materials, abilityto work independently without close supervision. Candidates should also behighly motivated to work in a fast-paced environment and be flexible to workbeyond regular workday hours when necessary.
