JOB DESCRIPTION:

Primary Purpose: Assist director and staff in the clerical duties of the department.

RESPONSIBILITIES:

Major Responsibilities and Duties

  • Provide secretarial support including answering the telephone, processing mail, filing, typing, word processing and handling multiple correspondences.
  • Perform varied typing tasks in preparation of correspondence, purchase orders, forms, and reports.
  • Perform general filing as needed.
  • Duplicate printed materials as needed.
  • Assist with planning and tracking budgets for Local, State, Federal and Bond funds.
  • Assist in preparing district and state government applications and reports.
  • Assist in the distribution of hardware, software and equipment to the proper schools/departments.
  • Coordinate, prepare and organize communications and information within Technology Services and between other district departments.
  • Manage purchasing for the assigned departments through effective tracking of all expenditures, soliciting quotes and bids, preparing purchase orders and processing items received.
  • Monitor expendable supplies and advise when to reorder.
  • Maintain department inventory.
  • Maintain and safeguard all confidential records and information.
  • Take necessary and reasonable precautions to protect students, equipment, materials and facilities.
  • Assist in upholding and enforcing district rules, administrative regulations and Board Policy.
  • Accept responsibility for professional growth through involvement in an ongoing program of reading, workshops, seminars, conferences and/or advanced course work at institutions of high learning.
  • Correct unsafe conditions that may exist in the work area that could cause an accident. Any conditions that are not correctable by you are to be reported to the supervisor immediately.
  • Attendance at work is an essential function.
  • Other duties as assigned by the supervisor or designee.

EXPERIENCE: QUALIFICATIONS:

Minimum Education/Certification:

  • High school diploma or GED
  • 30 credited college hours OR five years of experience as a secretary or similar office experience

Special Knowledge/Skills:

  • Proficient in the use of word processing, spreadsheets and presentation software
  • Proficient in the use of financial and inventory databases
  • Ability to multi-task and follow verbal directions
  • Working knowledge of technology hardware and software preferred
  • Basic knowledge of data processing system
  • Strong organizational and interpersonal skills

OTHER INFORMATION:

Equipment Used: Uses PC Computer, iPad, laptop PC, scanner, network printers, laser printer, push cart, copier, calculator, fax machine, hand truck and other office equipment. Working Conditions: Mental/Physical Demands/Environmental Factors: Heavy lifting and carrying (45 pounds and over), pushing, reaching above shoulders, use of fingers, walking, standing, repeated bending, specific visual requirements (using computer), specific hearing requirements (phone conversations). Excessive noise (intermittent), constant noise (computer room), dust, solvents (degreasing agents), electrical energy, works around machinery with moving parts.
