The successful candidate will assist with a variety of administrative, office coordination, customer service, and logistical support functions. Essential Job Functions:

Administrative & Office Support

  • Manage schedules and facilitate communication among team members.
  • Handle office documentation and coordinate essential office logistics.
  • Process mail and overnight shipping requests.
  • Assist with employee expense reports.
  • Prepare purchase requisitions.
  • Support office staff with administrative tasks and special assignments.
  • Assist with data entry, spreadsheets, databases, and records management activities.
  • Reproduce large documents and project deliverables.
  • Maintain document control systems in accordance with company standards.
  • Cover front desk responsibilities and receive deliveries.
  • Maintain visitor sign-in logs and office security procedures.

Office Coordination & Facilities Support

  • Maintain a clean, organized, and professional office environment.
  • Maintain and organize office, kitchen, field equipment, safety equipment, and supply inventories.
  • Coordinate ordering and stocking of office supplies.
  • Maintain and clean two office kitchens.
  • Coordinate office lunch orders and catering for meetings and events.
  • Assist with maintenance and care of office plants.
  • Serve as a liaison with building management in coordination with administrative staff.
  • Serve as an IT liaison for reporting technical and server issues.
  • Maintain office key fob inventory and online security systems.

Customer Service & Team Support

  • Provide professional customer service to employees, clients, and visitors.
  • Support office events, including summer and holiday gatherings.
  • Assist with scanning, copying, filing, invoice processing, and general office support.
  • Follow through on assigned tasks to successful completion.
  • Support a collaborative team environment while working independently as needed.
  • Conduct activities in line with internal procedures, legislation, and industry standards
  • Pursue continuous professional development and maintain a high degree of discipline knowledge and awareness
  • Work in a safe manner at all times and report all health and safety incidents and concerns
  • Perform additional duties as required

Required Qualifications:

  • High School Diploma or GED required.
  • 12 years of administrative experience.
  • Strong interpersonal and verbal communication skills.
  • Strong customer service orientation.
  • Excellent organizational and time-management skills.
  • Ability to prioritize multiple assignments and maintain attention to detail.
  • Proficiency with:
    • Microsoft Outlook
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
  • Ability to work independently with minimal supervision.
  • Willingness to learn and grow professionally.
  • Must possess a valid drivers license with a clean driving record without restrictions.

Preferred Qualifications:

  • 25 years of receptionist and/or administrative experience.
  • Experience supporting office operations in a professional environment.
  • Experience with records management and document control.
  • Experience with office inventory management and purchasing activities.
  • Experience coordinating meetings, office events, and catering services.

Physical Requirements:

  • Ability to lift and carry office supplies and materials up to 30 pounds.
  • Ability to stand, walk, bend, and move throughout the office as needed.
  • Ability to perform moderate physical activity associated with office support functions.

Work Environment / Environmental Factors:

  • Full-time, in-office work environment.
  • Frequent interaction with employees, clients, vendors, and visitors.
  • Occasional support for office events outside normal business hours.
  • Fast-paced environment requiring flexibility and strong organizational skills.

Compensation:

Pay commensurate with experience.

Pay Range: $20.00-$25.00 hourly
