Fluke is seeking an exceptional, self-motivated, and highly trusted Executive Assistant to provide strategic, proactive support to two senior leaders: the Chief Product Officer and the VP of Human Resources. This is a dual-support role that sits at the intersection of two critical functions - requiring outstanding judgment, discretion, and the ability to manage competing priorities across organizations with very different rhythms.
The ideal candidate goes beyond traditional administrative support. You are an operational thinker who anticipates needs, protects executive time, keeps complex cadences running smoothly, and handles sensitive information with absolute confidentiality. You will manage access to personnel data, organizational changes, and leadership decisions that require the highest level of trust and discretion.
This role also owns engagement activities, internal communications, and cross-functional coordination that keep the Product and HR organizations connected and running effectively across a global footprint.
Key Responsibilities
Executive Support & Time Optimization
- Manage highly dynamic calendars for both the CPO and VP of HR with strong judgment around prioritization, gatekeeping, and protecting time for strategic work.
- Balance competing demands across two executives with different meeting rhythms, travel schedules, and organizational cadences.
- Draft communications, coordinate follow-ups, and prepare briefing materials, pre-reads, and decision packets.
- Coordinate domestic and international travel including detailed itineraries, logistics with local site contacts, meeting coverage arrangements during executive travel, and expense reporting in compliance with Fortive policy.
Confidentiality & Trust
- Handle highly sensitive HR information including compensation data, performance reviews, talent calibrations, organizational restructuring plans, and employee relations matters.
- Manage confidential Product leadership discussions including strategy, M&A, competitive intelligence, and personnel decisions.
- Exercise absolute discretion - this role will have visibility into information that most employees and leaders do not. Trustworthiness is not a preference; it is a requirement.
Operational Excellence & Rhythm of Business
- Own the Rhythm of Business for both Product and HR organizations - staff meetings, business reviews, All Hands meetings, leadership touchpoints, talent reviews, and recurring operational cadences.
- Prepare agendas, track action items, coordinate presenters, and ensure meetings start on time with the right materials and the right people.
- Maintain visibility into long-range planning, upcoming priorities, and organizational milestones to enable proactive execution.
- Support budget tracking, vendor coordination, purchase orders, and facilities requests as needed.
Engagement, Communications & Cross-Functional Coordination
- Plan and execute team engagement events -- holiday gatherings, appreciation events, team lunches, connection-building activities - managing venues, catering, RSVPs, room setup, and logistics end to end.
- Own internal newsletters and communication channels for Product and HR -planning, content creation, and distribution across email, Teams, digital displays, and video, in partnership with Corporate Communications.
- Coordinate across IT, Facilities, HR, Finance, and other functional teams to resolve employee needs, support joint events, and enable smooth operations.
- Support onboarding logistics for new hires and visiting executives, including building access, room reservations, and welcome coordination.
Innovation & Continuous Improvement
- Share best practices within the EA community and continuously look for ways to improve workflows, reduce manual effort, and increase organizational clarity.
- Integrate AI and automation tools (e.g., Copilot, Teams transcription, scheduling assistants) into EA processes to improve efficiency.
- Identify opportunities to improve engagement, communication, and connectedness across both organizations.
Required Qualifications
- 7+ years of experience supporting C-suite or VP-level executives in a fast-paced, global, or technical environment.
- Demonstrated experience supporting multiple executives simultaneously with competing priorities.
- Proven track record handling highly confidential information (Product roadmaps, HR, legal, financial, or executive-level) with impeccable judgment and discretion.
- Expert proficiency with Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint, Excel, Word, OneDrive).
- Experience coordinating complex domestic and international travel across time zones, including site logistics and coverage planning.
- Strong experience driving team engagement, coordinating events, and owning internal communications.
- Exceptional written and verbal communication skills with the ability to draft professional correspondence, agendas, and executive-ready materials.
- Highly organized, detail-oriented, and able to manage multiple concurrent workstreams without dropping threads.
- Collaborative team player who is willing to roll up their sleeves - from setting up a conference room to preparing a board-level briefing.
Preferred Qualifications
- Experience in a manufacturing, industrial technology, or engineering environment.
- Experience with AI-powered productivity tools (Copilot, ChatGPT, Claude, automated scheduling, transcription tools).
- Associate's or Bachelor's degree in Business Administration, Communications, or a related field.
- Notary public certification or willingness to obtain one is a plus.
