Job Description
Education Stations seeks a highly motivated, dependable, and detail-oriented professional to
join our team. This multifaceted role encompasses both administrative office responsibilities and
direct on-site program assistance. The candidate will oversee daily operational functions
essential to program success. This is a 12-month, full-time position with a standard schedule of
Monday through Friday, 9:00 AM to 5:00 PM; however, candidates must maintain the flexibility
required to provide coverage for before or after-school sessions as necessitated by program
needs.
Report to: Director and Assistant Director of Education Stations After-School Program
Salary/Benefits: In accordance with the business and Finance Department of Melrose Public
Schools
Primary Responsibilities
The duties of the Administrative Assistant include, but are not limited to, the following:
Deliver comprehensive administrative support to department personnel
Manage and facilitate all incoming telephonic communications
Compose and distribute professional correspondence, including emails, invoices, and
official documentation
Administer registration and financial billing through established platforms, specifically My
School Bucks
Maintain professional and effective communication with staff, parents, and community
stakeholders
Essential Functions/Responsibilities
The Specific duties of the Administrator include, but are not limited to:
Skillfully communicate with staff and parents in a professional manner
Maintain an oversight of supply purchasing
Manages staff time sheets for payroll for before and after-school
Attend all staff meetings and training sessions; assist in creating the agenda and
facilitating meetings
Work with food services to provide food items for the before and after-school program
Maintain Education Stations website with up to date information
Travel to program sites to support staff when needed
Assist in training, mentoring, and hiring of staff for Education Stations
Provide coverage for the Director and Assistant Director in the event of absence
All other duties as stated by the Director or Assistant Director of Education Stations
Qualifications
Bachelors degree or equivalent experience
Ability to learn new software programs
Exceptional organizational time management and communication skills
Some experience in purchase ordering, navigating platforms such as My School Bucks
Proficiency with Google Docs, Google Sheets, and Excel
Operate standard office equipment
Knowledge of Munis (preferred)
Experience with school-age students
Successful completion of a criminal record (C.O.R.I.) check and fingerprint check.
