JOB SUMMARY
The Site Compliance Administrator (Monroe, OH) ensures that facility operations at Ascend's Monroe, Ohio processing site comply with all applicable Ohio DCC cannabis regulations, state and local ordinances, and internal company policies. This role is the primary compliance presence at the Marichron facility, responsible for maintaining compliance documentation, executing site audits, supporting regulatory inspections, coordinating corrective actions, and fostering a strong compliance culture at the facility level. The Site Compliance Administrator reports directly to the Senior Director, Wholesale Compliance. This individual plays a critical role in supporting the broader enterprise compliance monitoring program and ensuring the Marichron site is consistently audit-ready and operationally compliant.
ESSENTIAL JOB FUNCTIONS
- Daily compliance oversight: Serve as the primary on-site compliance contact, ensuring continuous compliance with all applicable cannabis regulations, internal SOPs, and company policies at the facility level.
- Audit execution: Conduct regular internal audits, inspections, and readiness assessments; document findings, coordinate corrective actions, and report results to the Senior Director, Wholesale Compliance.
- Compliance documentation: Maintain required documentation for licenses, inspections, training records, regulatory filings, and SOPs, ensuring records are accurate, current, and audit-ready at all times.
- Traceability system oversight: Ensure METRC or other state traceability system data is accurate, current, and in alignment with physical inventory; escalate discrepancies promptly.
- CAPA tracking: Coordinate and track corrective and preventive actions (CAPAs) stemming from audit findings, incidents, or regulatory observations through to resolution.
- Regulatory inspection liaison: Act as the on-site point of contact for regulatory inspections and agency correspondence; prepare inspection materials and ensure the site is inspection-ready at all times.
- Training support: Deliver and support ongoing compliance training programs for site personnel; track completions and maintain accurate personnel compliance records.
- Risk identification: Proactively monitor site activities to identify and escalate compliance risks or regulatory concerns to the Senior Director, Wholesale Compliance.
- Cross-functional coordination: Partner with operations, security, quality assurance, and HR at the site level to drive departmental alignment and ensure compliance is embedded in all facility activities.
- Ohio DCC compliance: Maintain working knowledge of Ohio cannabis regulations administered by the Ohio DCC; monitor for regulatory updates and communicate relevant changes to site leadership and the Senior Director, Wholesale Compliance.
- Control monitoring support: Execute site-level compliance controls in accordance with the enterprise wholesale compliance monitoring program; report control performance and exceptions to the Senior Director, Wholesale Compliance on an established cadence.
EHS SUPPORT RESPONSIBILITIES
- EHS site awareness: Serve as a ground-level partner for environment, health, and safety activities at the facility, supporting the enterprise EHS program as directed by the Director of EHS & Compliance Operations and Regional EHS Directors.
- Incident and observation reporting: Promptly report workplace safety incidents, near-misses, and EHS observations to site leadership and the appropriate EHS contact; assist with documentation and initial fact-gathering as needed.
- Safety training support: Assist in coordinating and tracking completion of site-level EHS and OSHA-required training programs; ensure personnel training records are up to date and accessible for audits or inspections.
- EHS documentation: Help maintain site-level EHS documentation including safety binders, OSHA logs, and related records in alignment with enterprise standards; escalate gaps or discrepancies to the appropriate EHS contact.
- Safety culture participation: Actively participate in site safety committee meetings or activities, support local safety initiatives, and help promote a culture of workplace safety among facility personnel.
- Corrective action support: Assist with tracking and documenting EHS-related corrective actions and follow-up items identified through inspections, audits, or incidents, reporting status updates to the appropriate EHS contact.
OTHER JOB RESPONSIBILITIES
- Participate in enterprise-wide compliance initiatives and standardization efforts as directed by the Senior Director, Wholesale Compliance.
- Assist with the development and revision of SOPs and internal controls relevant to site operations.
- Stay informed of changes to applicable state cannabis regulations and communicate relevant updates to site leadership and the Senior Director, Wholesale Compliance.
- Support investigations into non-conformances or compliance breaches, including root cause analysis documentation.
- Prepare compliance-related reports and dashboards for the Senior Director, Wholesale Compliance or external auditors as requested.
- Collaborate with corporate compliance personnel to ensure consistency with enterprise-wide compliance standards and monitoring requirements.
- Perform other duties as assigned to meet the goals of the compliance department and overall business.
- This role is expected to assist with any additional tasks, projects, or priorities directed by the Senior Director, Wholesale Compliance or the SVP, Compliance. The scope of this position may flex to support enterprise compliance needs beyond the site level, and responsiveness to direction from either of these leaders is a core expectation of the role.
MINIMUM JOB REQUIREMENTS
- High school diploma or GED required.
- 3+ years of experience in compliance, regulatory affairs, auditing, or a similar role; cannabis industry experience strongly preferred.
- Working knowledge of applicable state cannabis regulations.
- Familiarity with cannabis traceability systems such as METRC and point-of-sale/inventory platforms such as Dutchie.
- Strong organizational, documentation, and administrative skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Ability to interpret and apply complex regulations accurately.
- Must be 21 years of age or older.
- Must be able to obtain and maintain a state-issued cannabis agent/employee badge.
- Must pass pre-employment background checks.
PREFERRED JOB REQUIREMENTS
- Associate or bachelor's degree in Regulatory Affairs, Legal Studies, Business Administration, or related field.
- 4-6 years of experience in a regulated industry (cannabis, pharmaceutical, healthcare, food manufacturing).
- Prior experience supporting regulatory audits or inspections.
- Knowledge of internal control systems, risk assessment practices, or quality assurance.
- Experience with SOP writing and compliance training program development.
- Familiarity with multi-state compliance management.
