Under the general direction of the Assistant City Treasurer, serves as lead cashier for all centralized revenues of the City, including daily totaling, balancing, and bank depositing of all revenues for City, West Michigan Airport Authority (WMAA), Herrick District Library and Macatawa Area Express Transportation Authority (MAX). Perform various clerical functions, including cashiering for several types of transactions, enter cash receipts into a computerized database, provide various customer support and accounting functions as assigned.
PRIMARY DUTIES & RESPONSIBILITIES:
1. Provide assistance and process payments for various customer needs, including senior citizens tax deferment program, Allegan and Ottawa County dog license programs, sale of refuse bags, and duplicate tax statements to citizens or mortgage companies.
2. Process property tax billing payments for on-line, mail-in and walk-in customers.
3. Receive multiple forms of payment for walk-in customers for various types of invoices, donations, and billings.
4. Receive and verify deposits and supporting collection reports from various City departments, Holland Board of Public Works payments, Herrick District Library and MAX.
5. Review, process and reconcile all receipts from remote City locations, including verification of general ledger posting and reconciliation of credit card payments at remote locations.
6. Prepare daily bank deposits for the City of Holland, including WMAA, Herrick District Library, Holland Board of Public Works, and MAX.
7. Work with various City departments to collect non-sufficient fund checks.
8. Prepare petty cash reports and other reports as necessary.
9. Assist with monthly reconciliation of City Purchase Card Master account, including coordination with individual department reconciliations of department purchase cards.
10. Prepare monthly reconciliation of various accounts and assist with month end accounting.
11. Sort and distribute daily mail, from post-office and drop box, for all departments and oversee mailroom supplies.
12. Provide clerical and data entry assistance for various financial and/or accounting projects as necessary.
13. Provide in person as well as overthe-phone customer service and direct the public to utilize the City of Holland website for tax information.
14. Assists with preparation of the annual budget document.
OTHER DUTIES & RESPONSIBILITIES:
1. Perform other duties as assigned, including, but not limited to journal entries, miscellaneous invoice billings, petty cash reimbursements, filing and payment vouchers.
1. The job requires knowledge normally acquired through the completion of high school.
2. One to two years of business school or college business courses, with emphasis in accounting preferred.
3. Six months to one-year experience as a cashier or a cashiering-related position.
4. Interpersonal skills necessary to provide courteous and accurate information and responses to community members and various levels of City personnel.
5. Ability to make routine mathematical calculations with speed and accuracy. Make change for cash payments. Adept in using a calculator for large batch totals.
6. Must be proficient in Microsoft Word, Excel, and Outlook. Experience with BS&A software is a plus. Have experience with different office equipment.
7. Good understanding of property tax billing rules and procedures.
8. Mental ability to work on multiple projects that require attention to detail simultaneously.
9. Physical ability to sit for extended periods of time and occasionally lift/push/carry items weighing up to 20 pounds. WORKING CONDITIONS:
1. Normal office environment with little discomfort due to noise, dirt, dust, and the like.
