The Towson University Counseling provides an array of services that are flexible, culturally responsive, solution focused and tailored to every students unique needs. TU Counseling Center is seeking an Administrative Assistant I that will provide a professional and welcoming presence with clients, staff and the public. The Administrative Assistant I will offer administrative support to the Counseling Center staff, managing office operations including highly sensitive and confidential matters. Maintains a high level of integrity and professional demeanor overall, including maintaining the confidentiality of medical and mental health records and decorum in public spaces of the Counseling Center.

  • Support daily administrative operations for the Counseling Center utilizing electronic software, maintaining high volume calls while providing timely and professional assistance to the public.
  • Receives, screens, and responds to telephone calls, visitors, and clients. Serves as first point of contact with students, clients, campus partners (including faculty and staff), and community members (including parents of students, medical and mental health professionals, police, etc.) who are reaching out to the Counseling Center
  • Communicate with students in distress and expedites emergency protocols.
  • Uses discretion and judgment in the answering and/or routing of requests and communications.
  • Independently handles procedural and substantive matters and inquiries that do not require technical knowledge or refers callers to other personnel as appropriate.
  • Be well- informed of the center's services, resources, policies, and processes for assisting students, campus partners, and community members.
  • Sort and distribute incoming mail, scans identification cards and insurance cards.
  • Maintain the appearance of the Counseling Center waiting area by refilling brochures, magazines and other literature.
  • The work schedule for this position may require occasional evening hours Required Qualifications\:

    • High School Diploma or GED

    • Two years of experience providing administrative support

    • Experience in using good judgment as well as confidentiality when interacting with highly stressed individuals

    • Demonstrated strong organizational and critical thinking skills, efficient and personable

    • Ability to multitask in a fast-paced environment

    General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effectively both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email and calendaring software. Ability to understand and follow oral and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

    Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

    Preferred Qualifications\:

    • Knowledgeable in using Point and Click and Titanium Schedule software systems

    • Ability to use computer, scanner, printer and fax machines
