Position Description:
Maine Central Institute seeks an intrinsically motivated, organized, tech savvy, detail-oriented, and collaborative professional to serve as Advancement Operations Manager. This position provides essential operational and administrative support for the Advancement Office and plays a critical role in ensuring the accuracy, efficiency, and effectiveness of fundraising, donor stewardship, alumni engagement, and campaign activity.
As MCI prepares for a transformational comprehensive campaign, this position will provide strong systems support, assist in donor and campaign processes, and ensure a high level of service and professionalism in all advancement operations.
Essential Duties and Responsibilities:
- Maintain and update donor, alumni, constituent, and prospect records within the schools CRM system, Virtuous, ensuring data accuracy, integrity, and consistent record keeping practices.
- Perform continuous donor prospect research.
- Process, track, and manage gifts, pledges, and related documentation accurately and in a timely manner.
- Serve as a primary contact for Advancement Office inquiries and messaging, including phone calls, email communication, social media, and welcoming visitors.
- Prepare and distribute gift acknowledgments, tax receipts, pledge reminders, and stewardship communications.
- Work collaboratively with the Business Office to support reconciliations and reporting.
- Generate standard and customized reports to support fundraising strategies.
- Assist with donor proposals, presentations, and materials as needed.
- Support advancement colleagues with logistics and mailings regarding fundraising, engagement, communication and all institutional priorities.
- Provide support for the Head of School Office, as needed.
- Support planning and execution of alumni, donor, and advancement-related events.
- Coordinate advancement office supplies and assist with budget and expense tracking.
- Assist with coordinating campaign committee logistics and meeting support.
Qualifications:
- Bachelors degree preferred; equivalent experience considered.
- Experience in advancement, nonprofit administration, education, customer service, or related fields preferred.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple priorities and deadlines effectively.
- Excellent written and verbal communication skills.
- Proficiency with software applications and database/CRM systems; experience with fundraising databases preferred.
- Ability to handle confidential information with professionalism and discretion.
- Demonstrated ability to work independently and collaboratively.
