Position Summary
We are seeking a highly organized and people-focused professional to support daily shop operations. This role serves as a key partner to shop leadership, employees, and cross-functional teams by providing administrative support, coordinating onboarding activities, and support community initiatives.
Position Details
- Support the Shop Superintendent and Foremen with union onboarding processes, including completing forms, ordering IT equipment, scheduling orientations, troubleshooting, and preparing first-day materials.
- Serve as the first point of contact for general shop inquiries, providing guidance and redirecting questions as needed.
- Partner closely with accounting to:
- Approve and code shop invoices
- Run reports
- Confirm timesheet submissions
- Track purchase orders
- Facilitate cross-functional team meetings and coordinate logistics.
- Perform additional administrative duties as needed to support division operations.
- Oversee office and break areas, including ordering supplies, coordinating vendors, and scheduling maintenance as required.
- Manage company swag inventory and distribution.
- Support shop tours by greeting visitors, coordinating meals, and providing onsite assistance.
- Plan and host employee activities, community engagement, and team-building activities.
Qualifications
- Associate's degree (A.A.) or equivalent from a two-year college or technical school, or six months to one year of relevant experience and/or training, or an equivalent combination of education and experience.
- Minimum of 5 years experience in an administrative, accounting, or HR support role
- Strong proficiency with Microsoft Office
- Exceptional organizational skills and strong attention to detail.
- Excellent written and verbal communication skills.
- Capable of prioritizing tasks and handling multiple responsibilities.
- Strong event planning and organizational abilities.
- Ability to build and maintain positive working relationships across teams and departments

Pay: Final pay is determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data. For Maryland and Washington, D.C. this ranges from $23.00 - $29.00 per hour plus annual incentive, benefits, and retirement program as outlined above.
