Position Overview
The Senior Administrative Assistant provides high-level administrative and operational support to leadership, with a strong focus on expense management, payroll coordination, and travel logistics. This role requires exceptional organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.
Key Responsibilities
Expense Management
Prepare, review, and reconcile employee expense reports for accuracy and policy compliance
Track corporate expenses and assist with budgeting and reporting
Partner with finance to resolve discrepancies and ensure timely processing
Payroll Support
Assist with payroll preparation, including collecting and verifying timesheets and employee data
Coordinate with HR and payroll vendors to ensure timely and accurate payroll processing
Maintain and update employee records related to compensation and deductions
Travel Coordination
Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries
Manage calendar scheduling around travel and business priorities
Handle travel-related changes, cancellations, and expense tracking
Administrative & Operational Support
Provide day-to-day administrative support to leadership and/or departments
Manage calendars, meetings, and communications
Maintain organized filing systems and ensure document accuracy
Support cross-functional coordination across departments
Handle confidential information with discretion
Qualifications
3+ years of administrative experience, preferably in a Senior or executive support role
Experience supporting expense reporting, payroll processes, and travel coordination
Strong proficiency in Microsoft Office (Excel, Outlook, Word) and expense/HRIS systems
Excellent organizational, multitasking, and time management skills
Strong attention to detail and problem-solving abilities
Effective communication and interpersonal skills
Ability to work independently and handle sensitive information with discretion

This is a Contract to Hire position based out of New Berlin, WI.
Pay and Benefits
The pay range for this position is $27.00 - $30.00/hr.
