Position Overview

The Senior Administrative Assistant provides high-level administrative and operational support to leadership, with a strong focus on expense management, payroll coordination, and travel logistics. This role requires exceptional organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.

Key Responsibilities

Expense Management

  • Prepare, review, and reconcile employee expense reports for accuracy and policy compliance

  • Track corporate expenses and assist with budgeting and reporting

  • Partner with finance to resolve discrepancies and ensure timely processing

Payroll Support

  • Assist with payroll preparation, including collecting and verifying timesheets and employee data

  • Coordinate with HR and payroll vendors to ensure timely and accurate payroll processing

  • Maintain and update employee records related to compensation and deductions

Travel Coordination

  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries

  • Manage calendar scheduling around travel and business priorities

  • Handle travel-related changes, cancellations, and expense tracking

Administrative & Operational Support

  • Provide day-to-day administrative support to leadership and/or departments

  • Manage calendars, meetings, and communications

  • Maintain organized filing systems and ensure document accuracy

  • Support cross-functional coordination across departments

  • Handle confidential information with discretion

Qualifications

  • 3+ years of administrative experience, preferably in a Senior or executive support role

  • Experience supporting expense reporting, payroll processes, and travel coordination

  • Strong proficiency in Microsoft Office (Excel, Outlook, Word) and expense/HRIS systems

  • Excellent organizational, multitasking, and time management skills

  • Strong attention to detail and problem-solving abilities

  • Effective communication and interpersonal skills

  • Ability to work independently and handle sensitive information with discretion

Job Type & Location

This is a Contract to Hire position based out of New Berlin, WI.

Pay and Benefits

The pay range for this position is $27.00 - $30.00/hr.
