We are seeking a detail-oriented and organized Medical Records Coordinator to join our healthcare team in Oak Brook, United States. In this role, you will be responsible for managing patient medical records with precision and professionalism, ensuring all documentation is accurate, complete, and compliant with healthcare regulations. You will serve as a key support function within our organization, maintaining the integrity of our medical records system while providing efficient service to healthcare providers and patients.
- Manage, organize, and maintain patient medical records in both physical and electronic formats
- Ensure accuracy and completeness of all medical documentation and patient files
- Process, file, retrieve, and update patient records in a timely manner
- Respond to medical record requests from patients, healthcare providers, and authorized personnel
- Maintain strict confidentiality and ensure compliance with HIPAA regulations and healthcare privacy standards
- Perform data entry and record updates using Electronic Health Records (EHR) systems and other healthcare software
- Coordinate with clinical and administrative staff regarding record requests and documentation needs
- Implement and maintain organized filing systems and record management protocols
- Monitor record retention schedules and manage archival and destruction of records according to policy
- Identify and flag incomplete or inaccurate records for correction
- Assist with audits and quality assurance reviews of medical records
- Support the onboarding of new staff regarding record management procedures
- Proven experience in medical records management or healthcare administrative roles
- Proficiency with Electronic Health Records (EHR) systems and healthcare software applications
- Strong knowledge of HIPAA regulations and healthcare privacy compliance requirements
- Excellent organizational and time management skills
- Exceptional attention to detail and accuracy in data entry and record management
- Proficient in filing systems, record retrieval, and document management
- Strong communication and interpersonal skills
- Ability to multitask and manage multiple record requests efficiently
- Familiarity with medical terminology and healthcare documentation standards
- Demonstrated ability to maintain confidentiality and handle sensitive patient information
- Preferred: Previous experience in a healthcare facility or clinical setting
- Preferred: Knowledge of healthcare IT systems and database management
- Preferred: Customer service experience in a healthcare environment
