About the Department

This position works closely with the Recreation Supervisor in the Recreation Information Office. Provides administrative and customer service support for the Parks Department, serving as the primary public contact for department services, and facilities. Responds to a high volume of inquiries from residents, community organizations, and stakeholders, addressing concerns, resolving complaints, providing information, and coordinating with department staff to ensure timely and accurate responses. Processes facility and park rental applications, collects and reconciles payments, prepares permits and supporting documentation for special use requests, and maintains records in accordance with municipal policies and procedures. Supports daily office operations through data entry, records management, scheduling, correspondence, and coordination with internal departments and external partners to ensure efficient delivery of public services.

About the Job

Perform varied responsible office support work of above average difficulty in various departments throughout the City typically without specific instructions and require considerable knowledge of office support functions at entry. Generally, work in this class is characterized by tasks requiring the operation of computers and the utilization of various software programs, preparing and maintaining spreadsheets and similar computer support activities standard to the area of assignment. Often the work is performed under deadline situations with infrequent supervision and requires the ability to independently prioritize work. Assignments may require considerable liaison with other employees, departments or agencies and with the general public. Results of work performed impacts the accomplishment of the goals and objectives of the assigned work area as well as the accuracy, reliability and acceptability of its processes or services.

Individuals in this class may monitor or train less experienced individuals or employees assigned to a lower classification and may check in-progress and completed work for accuracy. Work guidelines are available in the form of regulations, policies, procedures and instructions. Employees must use considerable initiative and judgment in interpreting or adapting guidelines. Work is reviewed in progress and upon completion for thoroughness, accuracy, timeliness and compliance with regulations, policies and procedures. Individuals in this class are responsible for maintaining high quality standards in their work.

ILLUSTRATIVE EXAMPLES OF WORK

  • Process transactions involving several steps such as review of documents, determination of procedural compliance, computation or verification of data, fees or payment. Compile, complete and maintain recurrent technical, statistical and financial reports and records.

  • Plan, organize and maintain subject matter files which include the classifying, cross-referencing and indexing of specialized technical subject matter. Maintain various manual or computerized records and files to assure the status of projects/programs are communicated to all concerned parties; prepare records and documents for filing, archiving or microfilming.

  • Resolve procedural questions and complaints from the public, other agencies and City personnel.

  • Explain programs, activities, policies and procedures within scope of authority and provide information of a limited or technical nature. Schedule facilities, events and staff utilizing appropriate methods according to different work environments or specialty areas.

  • Perform receptionist duties such as receive calls, greet visitors and provide information and assistance by routing calls to appropriate individuals or departments, taking messages and responding to routine inquiries.

  • Operate standard office equipment and machinery such as typewriters, calculators, fax machines, copiers, Dictaphones, telephones, multi-line phone systems and copiers. Operate numerous software programs with proficiency, including word processing, data management and spreadsheet applications.

  • May organize, assign or monitor the work of less experienced or lower classification employees; may check in progress or completed work for accuracy or resolve routine operational problems.

  • Perform other related duties as required.

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS

  • Successful completion of course work or training in modern office principles and practices which include formal computer training, AND at least two years general office support experience which included public contact and required utilization of computers; OR

  • Any equivalent combination which provides the required knowledge, skills and abilities.

EXAMINATION STEPS

  • The Supplemental Questionnaire is part of the application (weighed 10%).

  • ·Top-scoring applicants will be called to an oral panel interview (weighted 90%), tentatively scheduled for July 9 and/or 10, 2026.

  • All vacancies in this job class will be filled from the ranked Civil Service register established from the examination process for 12 months.

IMPORTANT NOTES

  • A passing grade of 70.00 or higher is required on all parts of the screening process for placement on the ranked Civil Service eligible register.

  • The examination process is designed to sample and measure the requisite knowledge, skills, and abilities.

  • A pplicants claiming veterans preference points in accordance with RCW 41.04.010 as amended and meeting eligibility criteria must submit form DD214, or its equivalent or successor discharge paperwork, that characterizes his or her service as qualifying discharge as defined in
