Summary:

POSITION SUMMARY:

The ability to manage multiple tasks, plan and coordinate, and proactively handle situations are the key attributes for this role. Will have access to senior levels of the organization and must therefore display professionalism and gain organizational awareness to help prioritize and maintain schedules and meetings.

POSITION EDUCATION/ QUALIFICATIONS :

High School/GED required

Good written and verbal communication skills required.

Some evening or weekend work will be required

Bilingual English/Spanish.

JOB KNOWLEDGE/EXPERIENCE :

Five (5) year of Executive level administrative experience preferred.

Proficient in MS Word, Excel, and PowerPoint

Knowledge of all state and Federal regulations

Knowledge of State, Federal, and TJC regulations.

Responsibilities:

POSITION RESPONSIBILITES:

Promotes the facility mission, vision and values by effectively communicating them to others. Considers mission, vision and values in developing services, standards and practices.

Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.

Complex data reporting and management using macros, formulas, and pivot tables.

Knows how and focuses on resolving internal and external customer issues quickly.

Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

Organizational Awareness with the ability understands who are the key people and needs in the organization.

Knowledge of technical and business vocabulary.

Detailed knowledge of company operations, organizational procedures, and personnel.

Other duties as assigned.

CUSTOMER SERVICE:

Provide excellent customer service to all DHR customers. All employees are required to attend the DHR C.A.R.E.S program which outlines the Customer Service Principals including: Commitment, Accountability, Respect, Excellence and Service.

AGE SPECIFIC :

Employees must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served in his/her assigned unit. The individual must demonstrate knowledge of principles of growth and development over the life span and possess the ability to assess data reflective of the patients status and interpret the appropriate information needed to identify each patients requirement relative to his or her age.

B. Working Conditions : The individual spends over 95% of his/her time in an air-conditioned environment with varying exposures to noise. There is protection from weather conditions but not necessarily from temperature changes. The position does have low exposure to malodorous, infectious body fluids from patients and some minimal exposure to noxious smells from cleansing agents.

C. Occupational Exposure: This position has minimal to no exposure to blood, body fluids, or tissues and is an OSHA Category III (although situations can be imagined or hypothesized under which anyone, anywhere, might encounter potential exposure to body fluids). Person who performs these duties are not called upon as part of their employment to perform or assist in emergency medical care or first aid or to be potentially exposed in some other way.
