TITLE: Student Activities Administrative Assistant

FLSA STATUS: Non-Exempt

QUALIFICATIONS: High School graduate and one year of training beyond high school or three years of clerical experience in an office environment. Excellent verbal and communication skills, ability to perform multiple tasks, ability to prepare, review and edit correspondence, possess organizational skills and ability to design and maintain reports, forms and checklists. Minimum typing skill of 45 wpm. Working knowledge of bookkeeping practices. Working knowledge of Microsoft Office applications (specifically Word and EXCEL) and Google applications. Exemplary interpersonal and communication skills.

REPORTS TO: Director of Student Activities

JOB GOAL: To provide athletic operations and financial analyst services and duties as assigned.

DUTIES AND RESPONSIBILITIES:

Maintains responsibility for the seamless execution of athletic programs and administrative

logistics.

Manages financial operations to include budget, payroll, purchases, transportation, leave

forms and planning.

Coordinates ticket management at school sites.

Manages memberships for professional organizations like the NCADA and NIAAA for Athletic Directors.

Ensures that payments to Regional Supervisors and Officials are processed accurately and on schedule.

Oversees the Synovia time clock system which involves training deputies and resolving any technical or procedural issues related to time-tracking and payroll.

Operational Administration and Communication

Manages the Student Activities Internal Google Drive to ensure information is organized and accessible for staff.

Serves as the Web Manager for parent and community information on the CCS website.

Oversees the administration of volunteer programs which includes managing applications, maintaining detailed files for both paid and non-paid volunteers, and coordinating with Human Resources to facilitate security data forms and background checks.

Event Management and Organizational Culture

Creates programs for administrative athletic events and provides hospitality for various administrative activities.

Attends and successfully completes all training activities as required to improve ability and knowledge in performance of work duties.

Serves as team player and role model for other employees in the organization; demonstrates a commitment to continuous quality improvement; supports and exhibits organizational core values of caring, respect, integrity, responsibility, high expectations, being customer driven, and valuing fairness.

Performs other duties and accepts responsibilities as assigned.

PHYSICAL REQUIREMENTS:

Must possess finger dexterity and be able to physically perform the basic life operational functions of kneeling, sitting, walking, stooping, reaching, lifting, pushing, pulling, talking, seeing, hearing and repetitive motion.

Must possess the visual acuity to work with data and figures, operate a computer, prepare and expedite payroll and financial reports.

SPECIAL REQUIREMENTS:

Background check with local and state law enforcement agencies required.
