Minimum Qualifications:

High school diploma or equivalent and 2 years of related experience

Preferred Qualifications:
  • Associates or Bachelors degree in business administration, communications or related field
  • Experience supporting programs in a university, nonprofit, or government setting
  • Experience with financial processing systems
  • Experience managing databases, records systems, or certification/compliance programs. Learning Management Systems such as E Learning Commons or equivalent.
  • Familiarity with email marketing platforms (e.g., Mailchimp) and bulk communications
  • Experience coordinating events, workshops, or conferences
  • Basic experience updating websites or digital content
  • Interest or familiarity with forestry, natural resources, or workforce training programs
  • Experience managing high-volume, process-driven workflows with strong accuracy requirements
  • Experience working with continuing education or certification programs
  • Experience supporting industry-facing or stakeholder-driven programs

Position Summary:
A full-time administrative assistant is sought for the Harley Langdale, Jr. Center for Forest Business within the Warnell School of Forestry and Natural Resources. Responsibilities consist primarily of customer response, external event support, account reconciliation and record management, deposit processing, mailing operation management, and website/e-media updates.

The position serves as a central point of coordination for administrative operations supporting both the Center for Forest Business ( CFB ) and the Georgia Master Timber Harvester ( MTH ) Program. Responsibilities include processing registrations and applications, reconciling payments and deposits, managing mailing operations, maintaining website and e-media content, and supporting training programs and events.

Knowledge, Skills, Abilities and/or Competencies:
Strong attention to detail and ability to manage high-volume, process-driven work

Ability to organize, prioritize, and manage multiple tasks with minimal supervision

Effective written and verbal communication skills

Ability to interpret policies and apply them consistently and fairly

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams), Canva, Zoom, and Adobe Acrobat

Working knowledge of web-based systems and ability to update website content

Ability to work with various stakeholders and resolve issues professionally

Ability to establish and maintain effective working relationships

Ability to understand and accurately interpret information and develop appropriate responses

Collect, process, and maintain registrations, renewals, reinstatements, and continuing education records in both electronic and hardcopy formats. Perform payment processing (Touchnet), reconcile transactions and deposits, and maintain accurate financial and participant records. Manage filing systems and ensure compliance with program requirements.

Prepare and manage office supply orders and other purchase requests, mailing, and printing orders. Perform typical office reception duties.

Respond to phone and email inquiries from participants, sponsors, and stakeholders to answer questions, resolve problems, and clarify program policies or event logistics.

Manage communication systems. Prepare routine correspondence and create forms, fliers, newsletters, and personalized correspondence; ensure final documents are complete, accurate, and ready for timely distribution.

Provide guidance on program requirements, resolve issues, and support compliance. Develop and distribute newsletters, mailings, and routine correspondence. Maintain and update website content, directories, and program materials.

Duties/Responsibilities:
Support planning and execution of major events such as the Timberland Investment Conference, golf tournament, and outreach events. Coordinate sponsors, vendors, venues, registrations, and invoicing. Assist with event-day operations and reconciliation. Coordinate logistics for in-person and virtual workshops, including registration setup, participant communications, material preparation, catering coordination, attendance tracking, and post-event record management.

Procure promotional items. Provide additional administrative support as needed, including but not limited to new student on-boarding tasks, audit preparation, and education/outreach event preparations.

Manage event approvals within UGA . Finalize and resolve accommodation requirements with event venues. Coordinate with involved parties on event sponsorships to obtain logos and advertising information, manage invoicing, and update the Foundations records. Provide additional administrative support as needed for the investment conference, golf tournament, and other outreach events. Duties include reconciling guest lists, tracking unregistered attendees, and solving last-minute issues.
