Lets get to the good stuff
We're in need of an experienced Operations & Office Manager to assist in office management and operations duties. The position of Operations & Office Manager reports directly to the Director of Operations and is part of the Operations team.
ResponsibilitiesThe following are key highlights of the work youll be doing:
- Be the welcoming face of our office. Greet and assist incoming Clients and visitors and monitor the main phone line.
- Keep the office running smoothly by managing supply orders, keeping the office fully stocked, monitoring for maintenance needs and requesting service.
- First point of call for computer support. Assisting with computer set-ups, updates and software installations. Coordinating repairs to and ordering new IT equipment as needed.
- Coordinate resources and calendaring of work flows to various fulfillment teams.
- Execute weekly and monthly reporting needs within Teamwork.
- Support the sales team with scheduling incoming appointments, reviewing and drafting client agreements and amendments.
- Administrative support of Avalaunch events and special initiatives including booking travel as needed.
- Support Employee onboarding and offboarding processes.
- Assist with company wide training and communication.
- Accounts Receivable support including receipt of incoming payments, keeping spreadsheet of outgoing invoices current, and monitoring past due accounts.
- Support setup and management of Client billings and receivables.
- Communicate clearly, effectively and professionally with both internal teams and Clients.
The skills youll bring to the table:
- Bachelors Degree preferred
- High proficiency with Teamwork project management platform is a major plus
- HR and/or Paralegal experience is a major plus
- A minimum of 3 years previous operations and/or office management role
- Professionalism and excellent communication skills
- A strong attention to detail, organization, and analytical thinking skills
- Ability to self-manage and identify priorities
- Must enjoy bringing order and process while being adaptable to change
- High Proficiency with Microsoft Suite and Google Suite softwares
- Past experience with or a demonstrated knowledge of computer operating systems, database software and/or basic computer troubleshooting.
- Ability to quickly learn new technologies and software applications is critical for success in this role. We are a digital marketing company and learning/adapting to newer updated software is a key component of our business
