Qualifications:
- High School diploma or GED
- Clerical/Personnel experience preferred
- Working knowledge of general office computer software including Microsoft Word Suite of programs
- Such alternative to the above qualifications as the Board may require.

Reports To : Personnel Director
Background Check Required: (Ala. Code §§ 16-22A-5 ) Upon offer of employment, employees will be required to submit legible fingerprints for a background review by the Alabama Bureau of Investigation and the Federal Bureau of Investigation. Background checks must not be more than 10 years old.
Required Knowledge, Skills, and Abilities:
- Knowledge of organizational structure, workflow, and operating policies and procedures
- Excellent written and verbal communication skills
- Ability to keep business matters confidential
- Proficiency in Microsoft Office 365 Suite, attention to detail, and proficiency or ability to learn other HR software. .
- Ability to maintain and establish effective relationships within the workplace
- Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, intensive environment
- Skills in organizing resources and establishing priorities
- Ability to coordinate and organize meetings and special events
- Attain AASBO Payroll/Personnel Certification
Essential Functions:
- Prepares reports and assists with projects as necessary
- Assures that District policies, procedures, and standards are followed in accordance with local, state, and federal guidelines
- Assist in the filing of applicable reports to Local, State, and Federal Governments to include any applicable constituency group
- Assists the Personnel Manager and Personnel Supervisor as needed.
- Maintains and disseminates appropriate information for all school system personnel.
- Maintains, updates, and inputs new data for all school system personnel.
- Identifies new procedures and techniques to improve the operation of the Personnel Department, previews new equipment and software, and recommends new enhancements for implementation, and monitors all hardware and software to ensure proper function level and notifies appropriate contact personnel if problems arise.
- Assists with the creation and implementation of a Personnel Handbook.
- Assists with the creation and implementation of the Salary Schedule.
- Assists in coordinating the review of the application, background check, and certification of substitutes as required by Alabama Law
- Assists in compliance auditing of files.
- Assist with maintaining the ability to submit E-Verify information for all school system personnel.
- Assists with maintaining the employee online application system, updating and reviewing job descriptions
- Assists the Personnel Supervisor with coordinating website maintenance as needed.
- Review, collect, and process all contracts into the contract online platform.
- Maintains contract database
- Review and verify supplemental contract experience.
- Performs other duties as assigned.
- This position will be subject to the Students First Act of 2011. Madison City Schools reserves the right to fill this position by transfer of a qualified applicant who is already employed by Madison City Schools.
- Under the Students First Act of 2011, no credit toward tenure or non-probationary status is earned in the initial school year of employment if the date of hire occurs after September 30.
Expected Employment : 240 days/ 8 hrs. (full year)
Evaluation : According to established Board policies and administrative procedures and guidelines.
Salary Range: According to Madison City Schools Salary Schedule (Salary based on employment for complete year). Up to 10 years experience will be counted for new employees who provide documentation of full-time experience in the area of concentration.
