The Bensalem Township School District is hiring a part-time secretary at Belmont Hills Elementary School. The Part-Time secretary is responsible to assist in the effective and efficient operation of the office of the school.
POSITION TITLE :
Part Time Secretary - Elementary & Middle Schools
CLASSIFICATION :
Secretary, Part Time; Pay Grade- A
REPORTS TO :
Part Time Secretary is directly responsible to the Building Principal, but works with the full time Secretary who is primarily responsible for the daily coordination of secretarial work assignments within the building.
POSITION GOAL :
To assist in the effective and efficient operation of the office of an Elementary School.

- Possess appropriate level of education and experience to perform the essential duties relative to the position.
- Ability to comprehend, analyze and interpret general business periodicals, professional journals, technical procedures, governmental regulations, safety manuals, etc. and to generate routine reports and correspondence pertinent to the essential job duties.
- Ability to communicate and to demonstrate interpersonal skills effectively in dealing with students, staff, parents, community members, and educational agencies as related to performance of the duties of the position.
- Ability to perform mathematical operations and to apply mechanical skills and technical skills to accomplish the essential duties of the position.
- Ability to interpret and to carry out instructions furnished in written, oral, diagram, or schedule form.
- Ability to perform routine tasks cooperatively and to adjust to interruptions, variables, or changes in standardized situations.
SPECIFIC QUALIFICATIONS :
- High School diploma.
- Satisfactory completion of the secretarial pre-employment testing requirements.
- Must possess good writing proficiency and computer technological skills/competency in Microsoft, Outlook, Excel, and Power Point, and have the dexterity to interface with multiple data systems.
- Must possess exemplary interpersonal skills.
- Must be able to prioritize projects and manage multiple tasks efficiently, effectively and proficiently.
- Must be able to utilize “Source4Teachers” computerized system as it relates to substitute teachers and/or teacher coverages.
- E-School software experience preferred.
- Exemplary attendance record desired.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Assists the full time secretary with office activities as necessary and/or
required/requested.
- Greets all visitors courteously, determines their needs, answers their questions,
and directs or escorts them to proper person.
- Answers office telephones and responds appropriately to requests for information. Makes telephone calls as requested by immediate supervisor or to accomplish related school tasks.
- May be requested to type a variety of material, such as letters, memos, reports, class lists etc.
- Maintains a comprehensive filing system.
- Operates office machines/equipment as necessary.
- Obtains, gathers and organizes pertinent data and puts it into usable format as requested or required of position.
- Orders, receives and maintains supplies as needed.
- Receives and routes all incoming mail and outgoing mail.
- Makes arrangements for substitute teachers - distribution of materials, contact with the answering services.
- Performs any bookkeeping tasks associated with the position , including the school checking account, as requested/necessary.
- Registers new students and prepares all necessary materials for same and processes student withdrawals.
- Maintains a daily teacher attendance log and prepares payroll reports for each pay period along with necessary time cards.
- Distributes classroom coverage to teachers and substitutes. Maintains a record of all coverage reports by marking period and semester. Completes appropriate reports and time cards.
- Prepares and processes all materials pertaining to the teaching staff relative to the opening and closing of school.
- Processes all materials and reports relating to child accounting and student enrollment.
- Processes requisitions as appropriate.
- Processes work orders for maintenance repairs; distributes and files copies as appropriate.
- Makes copies of teacher observations and distributes as necessary; type evaluations and processes PDE annual and semi-annual evaluation forms for teaching staff per District policies/procedures.
20. Responsible for or assists with daily attendance information computer input, absences, minutes tardy, premedical, medical, and first notice dates, citation information, and mailing of notices accordingly.
21. Assists in the registration of all new students and processes student withdrawls.
22.Assists with input on each student into the pupil accounting system being utilized.
23 Assists with the maintenance of data for each student as necessary or required.
24. Maintains individual student files as required or directed by the Building Principal or designee.
25. Performs other related duties as may be assigned or necessary for an efficient operation.
