The Personal Assistant serves as the dedicated right hand to the Owner and Principal of CardVault by Tom Brady. This is a high-trust, high-discretion role requiring exceptional organizational skills, sound judgment, and the ability to anticipate needs before they arise. The Personal Assistant manages the Owner's time, communications, travel, and day-to-day priorities allowing leadership to operate at the highest level. This role is based on-site at the CardVault Boston office and may require travel as needed.

As a Personal Assistant, a typical day may include the following:

  • Serve as the Owner's primary point of contact, managing communications, screening inquiries, and ensuring the right information reaches the right people at the right time
  • Manage the Owner's calendar with precision: scheduling appointments, prioritizing commitments, resolving conflicts, and protecting focused work time
  • Draft, edit, and send correspondence on the Owner's behalf including emails, memos, and internal and external communications ensuring tone and intent are consistently represented
  • Coordinate all travel arrangements end-to-end: flights, hotels, ground transportation, dining reservations, and detailed itineraries; provide on-trip support as needed
  • Organize and facilitate meetings: scheduling, sending agendas and reminders, booking venues and preparing materials in advance
  • Greet and manage visitors on behalf of the Owner; assess purpose of visit and direct accordingly with professionalism and discretion
  • Answer, screen, and appropriately route calls; handle sensitive matters with confidentiality
  • Maintain organized and up-to-date records of important documents, contracts, contacts, and reports
  • Assist with personal tasks and errands as directed by the Owner to support their broader schedule and priorities
  • Collaborate with the executive and management team on special projects as assigned
  • Anticipate the Owner's needs proactively identifying potential scheduling conflicts, logistical issues, or communication gaps before they arise
  • Other duties as assigned
  • Minimum 2 years of executive assistant or personal assistant experience in a fast-paced environment
  • High School Diploma or GED required; Associate's or Bachelor's degree preferred
  • Strong travel coordination experience flights, hotels and ground transport
  • Exceptional written and verbal communication skills; ability to represent the Owner's voice with accuracy and professionalism
  • Elite time management and organizational skills; ability to handle competing priorities without losing detail
  • Sound judgment and the ability to make decisions and act independently with minimal supervision
  • Demonstrated ability to handle confidential, sensitive, and personal information with absolute discretion
  • Natural problem-solver; able to anticipate needs and resolve issues before they escalate
  • Strong interpersonal skills professional, warm, and effective across all levels of an organization
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); comfort with Slack and other communication tools
  • Ability to operate standard office equipment including phone systems, copiers, and projectors

  • This is a full-time, on-site role located at the CardVault Boston office that may require additional travel as needed

  • Non-standard hours are a regular part of this role evenings, weekends, and holidays may be required based on the Owner's schedule and business needs
