Job Description:

Cinnaminson High School is seeking a highly motivated and experienced individual to join our team as the secretary to our Counseling Department. This is a permanent, full-time position that requires the candidate to work closely with counselors, administrators, students, and the CHS staff. The Counseling Secretary will report to the Director of Counseling and the High School Principal.

Key Responsibilities

  • Type correspondence, reports, presentations, and memoranda using Google Workspace and other district-approved software applications.
  • Receive and screen incoming telephone calls, record messages, answer routine inquiries, and direct communications to the appropriate counselor, administrator, or department as needed.
  • Maintain appointment schedules for members of the School Counseling Department and support the efficient daily operation of the counseling office.
  • Process, maintain, and archive student records, transcripts, scheduling documents, and other confidential student information in accordance with district, state, and federal regulations.
  • Assist students, parents, staff, colleges, and outside agencies with records requests, transcript processing, enrollment documentation, and other counseling office procedures.
  • Support counselors and administrators in coordinating student scheduling, course registration, graduation requirements, standardized testing logistics, scholarship opportunities, and post-secondary planning activities.
  • Assist in the planning, organization, and implementation of counseling department programs and events, including parent information sessions, college and career programs, financial aid workshops, orientation activities, and awards ceremonies.
  • Become familiar with Board of Education policies, state regulations, and federal requirements related to student records, confidentiality, and counseling services.
  • Maintain accurate databases and records within Genesis and other district information systems.
  • Order and maintain office supplies and materials necessary for the operation of the School Counseling Department.
  • Assist with departmental budgets, purchase orders, and financial recordkeeping as assigned.
  • Perform other duties as assigned by the Principal, Director of School Counseling, or designee.

Requirements

  • Proficiency in Google Workspace, including Google Docs, Sheets, Calendar, Forms, and Gmail.
  • Strong written and verbal communication skills with the ability to interact professionally with students, parents, staff, and community members.
  • Exceptional organizational, time-management, and multitasking abilities.
  • Ability to work independently while also contributing effectively as part of a collaborative team.
  • Flexibility and adaptability in a fast-paced educational environment.
  • Strong attention to detail and accuracy in recordkeeping and data management.
  • Ability to maintain confidentiality and professionalism at all times.
  • Experience with Genesis or comparable student information systems preferred.
  • Experience with office management, scheduling systems, and budget-related tasks preferred.

Qualifications

  • Previous experience in a secretarial, administrative assistant, or office management role, preferably in an educational setting.
  • Knowledge of student records procedures, scheduling processes, and school office operations preferred.
  • Demonstrated commitment to providing exceptional service and support to students, families, and staff.
  • Ability to foster a welcoming, professional, and student-centered environment within the School Counseling Department.
