POSITION: Board/Superintendent Administrative Assistant LOCATION: Pike Road Schools DEPARTMENT: Central Office REPORTS TO: Superintendent FLSA STATUS: Exempt TERMS: 240-Day position compensated in accordance with the board-approved salary schedule
JOB SUMMARY: The Board/Superintendent Administrative Assistant provides high-level administrative, secretarial, and supervisory support for the Superintendent and School Board. This role ensures the integrity of official Board records, oversees critical student data systems, and serves as a key professional liaison to the Pike Road community.
QUALIFICATIONS:
- Minimum High School Diploma or Equivalent required; Two-year or Four-year degree preferred.
- Three years of secretarial experience or school administrative experience is highly desirable.
- Proficiency in Simbli and PowerSchools (Enrollment/Attendance).
- Exceptional integrity, maturity and collaborative skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Embrace and promote the school system's mission, vision, beliefs, and goals.
- Work cooperatively with the Board, the Superintendent, other system personnel, parents, and students.
- Maintain School Board minutes, agendas and all official Board documents specifically utilizing Simbli software.
- Supervise District registrars in the effective use of PowerSchool Enrollment and Attendance modules.
- Become and maintain status as a Notary Public for official District documentation.
- Perform comprehensive secretarial duties for the Superintendent, including calendar management and scheduling; screening and managing phone calls and visitors; preparing written correspondence, reports, agendas, etc; disseminating Board updates and information from the Superintendent to employees and other designated individuals.
- Prepare Board packets and attend Board/administrative meetings to record proceedings.
- Manage secure filing, retrieval, and retention of District records and personnel data.
- Serve as a primary point of contact for the public and assist with District events.
- Coordinate travel and accommodations for the Superintendent and School Board.
- Ensure Board policies comply with State and Federal laws.
- Demonstrate a high degree of professionalism and ethics including maintaining confidentiality of sensitive information and communications.
- Participate in professional learning activities.
- Perform other duties as assigned by the Superintendent or designee(s).
EVALUATION: Job performance will be evaluated in accordance with provisions of the State Department of Education and/or Pike Road Board of Education policy on evaluation of personnel.
