Because of our reputation and company culture, they have decided to work at HRIM.SUMMARYThe Administrative Assistant supports the daily operations of the apartment community by performing clerical, customer service, and compliance-related tasks. This role is crucial in ensuring the property remains compliant with LIHTC and PBV (Project-Based Voucher) program requirements, while maintaining smooth front-office operations and delivering excellent resident service.JOB RESPONSIBILITIESServe as the first point of contact for residents, applicants, vendors, and visitorsManage the daily flow of guest activity in the front office Collect required documentation from external vendors upon arrival for property servicesAnswer phones and respond to inquiries, including directing calls and information to the appropriate individual Schedule appointments and assist with leasingAssist applicants in completing rental applications and gathering required documentationPrepare and process leasing packets, renewals, and move-in/move-out documentationCoordinate unit showings, inspections, and move-in appointmentsSupport the Property Manager with intake, verification, and documentation of income and assetsHelp ensure all files are complete and meet LIHTC and PBV program requirementsProvide support for the collection, recording, and depositing of rental payments, application fees, and security deposits when standard processes are unavailableManage work orders in Yard, Elite, and other software systems as needed Track critical deadlines, e.g., annual recertifications, income verifications, rent changesAssist in preparing for auditsTrack and update PBV waitlistDistribute resident notices, e.g., lease violations, inspections, eventsManage maintenance work orders in Yardi and maintain communication with residents regarding repairsAccept packages from external mail service providers and notify residents as neededCollect residents' parking information and issue parking decals Assist with coordinating maintenance repairs for make-ready units with external vendorsHelp coordinate resident communications and community activitiesPerform other duties as assignedQUALIFICATIONSRequired Skills/Abilities 1+ year of administrative or office support requiredPrevious experience in the residential industry is a plusProficient in Microsoft Office Suite - Word, Excel, Outlook requiredStrong organizational, time management, and customer service skillsPhysical RequirementsProlonged periods sitting at a desk, working on a computer, standing, walking, giving tours, and meeting with potential tenantsMust be able to lift up to 15 pounds at a timeMust be able to cover a variety of properties with stairs and conduct tours in various weather conditions"We dont just offer a jobwe offer a lifestyle!
