Executive Assistant - Customer Service & Planning and Digital Transformation & Productivity, Spain
What do you become a part of:
This role will be supporting two VP's in Customer Service & Planning and Digital Transformation & Productivity within Central Customer Services and Supply Chain.
Responsible for providing a high quality of Executive Assistant support. This is a busy, challenging and complex position requiring the EA to be able to multi-task, prioritise requests and work to tight deadlines. Also involves working closely with other Executive Assistants within the business who are located across various countries.
What you will do:
- Responsible for arranging and booking all travel on a frequent basis, ensuring transfers to and from airport /hotel, hotel arrangements
- Reviewing on a daily basis the VP's schedule, meeting arrangements and ensuring meeting requests are dealt with promptly
- Assisting with the planning and organisation of Customer Service & Planning team events
- Organize and coordinate schedule of meetings and appointments for the VP
- Ensure accurate and timely authorisation/process of invoices, expenses, holiday requests in appropriate systems
- Create and submit expenses for approval on a monthly basis
- Creation and management of Purchase Orders / CCEBUY
What we expect from you:
- Significant experience in an administrative role at Executive level and strong project management skills.
- Ability to communicate effectively, organize and plan your time efficiently, anticipate needs, and prioritize work to deadlines.
- Ability to take initiative, willingness to adapt, ability to relate easily to others and your sense of confidentiality are critical success factors.
- Proficient in the use of MS Office, including Excel, Word & PowerPoint
- Attention to detail and problem solving skills
- Excellent written and verbal English communication skills. Additional languages an advantage but not essential
- Excellent planning and organisation skills
- Cultural awareness
- Must be flexible and able to work in a demanding environment
- Experience working in a global organization an advantage
- Ability to maintain confidentiality and handle sensitive information with discretion
- Role is at a full-time base
