The Executive Assistant to the Vice President of Advancement shall be primarily responsible for providing high-level administrative support; as well as performing a wide variety of highly responsible tasks and confidential work associated with the Vice President's Office. This role reports directly to the President.
Essential Functions:
- Tracks donor relations and stewardship activities in appropriate databases.
- Manages the Vice President's calendar ensuring optimal scheduling to include meetings, community presentations, and appointments involving University Administrators, faculty, staff, students, professional organizations, and government leaders.
- Build and maintain positive relationships with current and prospective donors, alumni corporations and Foundations
- Cultivate personal connections through various communication channels, including in person and virtual meetings, emails, calls and events
- Understand donors' philanthropic interests and goals and align them with the appropriate funding priorities at the College.
- Research and assess potential major gift donors and create customized engagement outreach plans
- Collaborate with event planning team to crowd build for scheduled campus and regional events that provide enhanced donor engagement opportunities.
- Maintain accurate and up-to-date donor records in the donor database.
- Collaborate with various college departments, including academic units and administration, to stay informed about college priorities and programs.
- Manages the Vice President's travel arrangements to include agenda, meeting logistics, hotel, transportation, and post-trip items such as expense reports.
- Works collaboratively with faculty, staff, and senior leaders on campus to include representatives of various University colleges/departments.
- Provides information for reports and records through research, data retrieval, compiling and/or tabulating statistics, and organizing and presenting the information in useable and understandable formats.
- Prepares correspondence and memos independently or from written and oral instructions; Prepares meeting agendas, presentations, and reports.
- Manages databases for mailing and organizational directories.
- The omission of specific duties does not preclude the supervisor from assigning duties that logically relate to the position.
Knowledge, Skills, and Abilities:
- Ability to work independently with discretion.
- Maintain confidentiality.
- Exercises initiative and independent judgment in managing the Vice President's schedule and the office's activities, events, budgets, and projects.
- Excellent written and oral communication skills, including the ability to edit documents and independently compose correspondence.
- Excellent interpersonal skills which establish cooperative working relationships with internal and external University constituents.
- Professional demeanor treats others with respect.
- Proficiency in Microsoft Office Suite.
- Ability to multi-task and maintain a high level of professionalism.
- Moderate physical activity. Requires handling of average-weight objects up to fifty (50) pounds or standing and/or walking for more than four (4) hours per day.
Minimum Requirements:
- Masters Degree preferred
- 10 plus years of experience supporting senior-level executives
- Flexible working outside of normal business hours.
