Under the direction of the Humanities internship Coordinator, the Administrative Assistant will provide administrative support to the College of Arts, Humanities, and Social Sciences Humanities Internship Program. The Administrative Assistant for this grant-funded program will track internship information and placements; assist with collecting evaluation data; process payments to students and faculty; assist with events such as workshops and orientation sessions; and maintain program website and social media.
Job Related Minimum Required Education and Experience
Typically holds a high school diploma or GED. Requires no prior work experience.
Required Certification, Licensure/Other Credentials Preferred Qualifications
Bachelor's degree from an accredited institution, or high school diploma + 4 years equivalent experience.
Knowledge/Skills/Abilities
A successful background check is required. Excellent written, oral, and digital communication skills with a demonstrated culturally respectful interpersonal communication style. Handles confidential information appropriately. Utilize project coordination skills. Ability to create and organize documents and data using Word, Adobe, and Excel.

Assists Humanities Internship Coordinator with administrative duties, including scheduling meetings with internal and external constituents; responding to inquiries about the program from students, faculty and external partners; and managing the calendar for the program.

Management of Internship Processes and Data:
Coordinates the system for collecting and processing internship applications. In collaboration with the PI/Humanities Internship Coordinator, maintains a system for tracking student internship placements. Assists the Humanities Internship Coordinator and the Humanities Internship Evaluator with evaluation data collection. Processes student internship stipends. Processes faculty stipends.

Event Planning and Coordination:
Collaborates with Humanities Internship Coordinator to plan and execute workshops and programs. Tasks include reserving campus space using the 25Live system; catering orders; preparing workshop materials; notifying student interns and faculty of events; assisting with setup at events. Attends events to check attendees in and to ensure the smooth execution of program.

Budget:
Collaborates with Humanities Internship Coordinator and with Grants Administrator to manage project budget. Keeps detailed and accurate records of project expenditures. Maintains ledgers and spreadsheets to track expenses.
