Administrative Specialist - University Advancement

Responsibilities

  • Provides executive level administrative support for the division of University Advancement.
  • Performs an extensive variety of administrative services; composes correspo0ndence, prepares and processes forms, travel itineraries, requisitions, and similar documents
  • Arranges and schedules appointments; manages office activities
  • Takes and transcribes minutes for SSU Foundation and Division Meetings
  • Manages calendar; maintains central filing system and office procedures for quick retrieval of information
  • Tracks progress on special projects and fundraising events for timely completion
  • Maintains up-to-date records of budget expenditures and spreadsheets
  • Serves as building coordinator
  • Attends related meetings; handles key requisition/distribution, maintenance and vehicle requests
  • Oversees the screening of visitors and telephone calls
  • Apprises Vice President of office activity
  • Assists with check receipting and depositing
  • Assist with management of scholarship universe
  • Work may require occasional evening/and or weekend assignments

Required Qualifications

  • Minimum of an associate's degree with supplemental courses in business and administrative systems
  • A minimum of five years administrative support experience
  • Must have knowledge and demonstrated experience in tracking and maintaining a departmental budget and executive calendar
  • Strong oral and written communication skills, with ability to interact effectively and tactfully with outside contacts and all levels of the university environment
  • Must have experience and level with using a database (Raiser's edge preferred), proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
  • Must be able to maintain confidentiality
  • Must be able to work independently to prioritize work, meet deadlines, and determine methods and procedures to resolve administrative office problems

Proposed Salary

The proposed salary for this position is $19.23 - $21.63 per hour.

Knowledge, Skills, & Abilities

  • Knowledge of modern office practices and procedures;
  • Knowledge of basic bookkeeping and mathematics;
  • Skilled in the use small office equipment, including copy machines or multi-line telephone systems;
  • Skilled in using computers for data entry;
  • Skilled in using computers for word processing and/or accounting purposes;
  • Ability to learn university policies and ordinances;
  • Ability to learn department policies and procedures;
  • Ability to maintain a professional demeanor and an orientation towards customer service;
  • Ability to organize, and communicate effectively;
  • Ability to maintain constructive and cooperative working relationships with others; and
  • Ability to cooperate with fellow employees as a team member
