POSITION SUMMARY
Reporting to the Executive Vice President of LEXSO , the Executive Assistant plays a critical role in supporting the EVP, LEXSO , and the broader LEXSO team through high-quality administrative and operational coordination. This role helps ensure the efficient execution of day-to-day priorities by managing schedules, coordinating meetings and travel, preparing materials, tracking action items, and supporting team operations in a fast-paced executive environment.
RESPONSIBILITIES
- Provide day-to-day administrative and operational support to the EVP, LEXSO, and the LEXSO team, ensuring priorities are executed efficiently and professionally
- Manage complex calendars, schedule internal and external meetings, coordinate logistics , and proactively resolve scheduling conflicts
- Coordinate domestic and international travel arrangements, itineraries, agendas, and related logistics for the EVP, LEXSO, and team members, as needed
- Prepare read-ahead materials, presentations, meeting agendas, and other administrative documents in support of executive and team priorities
- Attend meetings, capture confidential notes when required, and track follow-up actions to support timely execution and accountability
- Assist with expense reports, invoice processing, and other administrative workflows in accordance with company procedures
- Support team operations by coordinating communications, maintaining shared files and records, and helping organize priorities across multiple stakeholders
- Prepare confidential correspondence, reports, and other documents with a high degree of accuracy, discretion, and professionalism
- Help coordinate team meetings, offsites, and other events that support collaboration, communication, and operational effectiveness within LEXSO
- Maintain confidentiality of sensitive information and records while supporting document management, retention, and organization practices.
- Support special projects and other operational initiatives assigned by the EVP, LEXSO, Senior Executive Assistant, or other designated leaders
- Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday standard core hours, however some extended or weekend hours may be required .

QUALIFICATIONS
- High school diploma required ; associates or bachelors degree preferred
- Minimum of 5 years of related experience supporting executives or teams in an administrative, coordinator, or operations support role
- Strong organizational, time management, and prioritization skills, with the ability to manage multiple competing demands in a fast-paced environment
- Excellent written and verbal communication skills, with the ability to interact effectively and professionally with executives, internal partners, and external stakeholders
- Advanced proficiency with Microsoft Office and strong working knowledge of collaboration and file management tools such as SharePoint; experience with Concur, Deltek , or similar systems is preferred
- Demonstrated ability to handle sensitive and confidential information with sound judgment, discretion, and professionalism
- Ability to work independently, anticipate needs, solve problems proactively, and follow through on assignments with limited oversight
- Strong attention to detail and ability to support operational coordination across a broad range of stakeholders and priorities
